Dictation on Mac
Mac Dictation: How to Dictate and Control a Mac by Voice
Every Mac has free, built-in Dictation: turn it on once in System Settings > Keyboard, press the Microphone key or your shortcut in any text field and speak, and on Apple silicon Macs 48 of its 63 language variants can be processed on the Mac itself. Voice Control adds hands-free commands for the whole computer. When dictation fails, the cause is one of five things: the shortcut, the microphone, the language, Voice Control or the app you are typing in; when you need long, specialist or AI-formatted text, a dedicated Mac dictation app is the next step.

Guides in this topic
Each guide takes one part of the subject in depth.
- How to Use Dictation on a MacDictation comes with macOS, so there is no app to install. Turn it on under System Settings, then press the Microphone key or your Dictation shortcut, speak into any text field, and press Escape to stop. On Macs with Apple silicon you can keep typing while it listens.
- Mac Dictation Shortcut: Keys and Custom HotkeysOn a Mac, you start Dictation with the Microphone key if your keyboard has one, or with the Dictation shortcut you choose in Keyboard settings, such as pressing the fn key twice. Pressing and holding the Microphone key opens Siri instead.
- Why Mac Dictation Is Not Working, and How to Fix ItMac dictation fails at one of five points: the Dictation switch or shortcut, the microphone the Mac listens to, the language, Voice Control or a restriction, or the app you are typing into. Check them in that order, starting with the symptom, and try the settings before any drastic step. Never turn off System Integrity Protection to fix dictation.
- Mac Dictation Commands and Punctuation: Full ListOn a Mac, Dictation types a punctuation mark, symbol or layout break when you say its name, such as "comma" or "new paragraph". In supported languages it also adds commas, periods and question marks by itself. It cannot select, delete or undo text: that needs Voice Control.
- Voice Control on Mac: Turn It On and Use ItVoice Control is the built-in macOS feature for running your Mac by voice: it clicks, scrolls, opens apps and types what you say. Turn it on in System Settings > Accessibility > Voice Control. While it is on, it replaces standard Dictation.
- Mac Voice Control Commands: The Complete ListVoice Control on a Mac runs short spoken commands in a few patterns: say an action and its target, show numbers or a grid to reach anything on screen, select and edit text, and press keys. Apple's help page gives the examples, Show commands lists what works in the app you are using, and each command can be switched off or joined by your own in Voice Control settings.
- Best Dictation Apps for Mac: Built-In vs Third-PartyStart with Apple Dictation, the free tool already on your Mac, and use it for short text. Pay for a dedicated app when you need cleanup of rough speech, words Apple misses, file transcription or a way to keep audio on your Mac. Then test each app on your own writing before you buy.
- Dictation in Mac Apps: Word, Pages, Notes, Mail, TerminalApple Dictation types into any Mac text field where you can type, once it is turned on. Word, PowerPoint and Outlook for Mac use Microsoft's own Dictate button, which needs a Microsoft 365 subscription. Google Docs voice typing runs in the browser, and the Apple pages we read do not cover Terminal, so for Claude Code in Terminal the documented route is its own /voice command.
- Dictation vs Voice Control vs Siri on a MacDictation types the words you say into a text field. Voice Control operates the whole Mac by voice and includes its own dictation, and while it is on, standard Dictation is unavailable. Siri answers questions and carries out quick requests, and it is not the feature Apple describes for entering text.
- Apple Dictation Languages on Mac: The Full ListApple's macOS 27 list has 63 Dictation language and regional variants. Fewer of them run on the Mac itself (48), get automatic punctuation (33) or work in Voice Control (20), and only 9 English variants get the advanced model.
- How Apple Dictation Works: On-Device, Server and AIApple Dictation converts speech to text with a neural speech model. On an Apple silicon Mac, 48 of its 63 language and regional variants are processed on the Mac itself, and Apple's older Sonoma 14 guide says the rest go to its servers, so the Keyboard settings tell you which route you are on. Accuracy depends on your microphone, language setting and speaking, and the one independent test we found measured Apple's speech engine at a 10.3 percent word error rate on a single recording in 2025.
- Is Apple Dictation Private? What Apple KeepsOn-device Apple Dictation processes your speech on your Mac, and server dictation sends it to Apple, which does not store the audio unless you choose Share Audio Recordings. Even then Apple may keep request history, with transcripts, for up to two years, and you can delete history less than six months old in System Settings. These settings are a sound consumer choice, but they are not a HIPAA or legal compliance guarantee.
- Mac Dictation by macOS Version: What ChangedMac dictation has changed in five main steps since 2012: system-wide Dictation, offline Enhanced Dictation in Mavericks, the removal of Enhanced Dictation in Catalina, on-device features in later releases, and an advanced model in macOS 27 that needs an M3 or later Mac with at least 12GB of memory. Intel Macs stop at macOS Tahoe 26.
Every Mac comes with free Apple Dictation. You turn it on once in System Settings > Keyboard > Dictation, place the cursor in any text field, press the Microphone key or your shortcut, and speak. It has no length limit 1 and stops after 30 seconds of silence 2. On a Mac with Apple silicon, Dictation covers 63 language variants 3, and in 48 of them it is processed on the Mac itself 4. If you want to run the whole Mac by voice (open apps, click buttons, select and correct text), the separate accessibility feature Voice Control does that, and while it is on it replaces standard Dictation 5.
When dictation fails, it fails at one of five points: the shortcut, the microphone, the language setting, Voice Control, or the app receiving the text. Checking them in that order is the quickest way to find the cause. When the built-in tools are not enough (long documents, specialist vocabulary, AI cleanup of what you said, or typing into a terminal), a dedicated Mac dictation app is the next step. This page gives the essential answer for each part of the subject and links to the guide that covers it in depth.
Dictation is free on every Mac: turn it on once, then press one key in any text field
Apple Dictation has been part of macOS since OS X Mountain Lion in 2012, when Apple described it as a way "to dictate text anywhere you can type", in Apple's apps and in third-party ones alike 6. That is still the core idea: Dictation is a keyboard that listens, and it works in any app that accepts typed text. It costs nothing and needs no account beyond the Mac itself.
Turning it on takes four steps in macOS 27 (the same path works in macOS Tahoe 26 and Sequoia 15):
- Choose Apple menu > System Settings, then click Keyboard in the sidebar.
- Go to Dictation and turn it on, then click Enable.
- Choose whether to Share Audio Recordings with Apple or click Not Now (this only affects whether Apple may store your audio; see the privacy section below).
- Check the Languages and Shortcut settings on the same screen.
To dictate, put the insertion point where the text should go and do one of three things: press the Microphone key, press the Dictation keyboard shortcut, or choose Edit > Start Dictation 7. When the cursor pulses, speak. Current macOS accepts text of any length without a timeout, and you stop with Escape, the Microphone key or the shortcut 1. If you go quiet, it stops on its own after 30 seconds without speech 2.
Three details make daily use smoother. First, on Apple silicon you can type while Dictation is listening: the cursor stops pulsing while you type and resumes when you stop, so you can keep dictating while you fix a word 8. Second, when Dictation is unsure, it underlines the word in blue, and you can click it to pick an alternative 9. Third, a Mac without a built-in microphone needs an external one connected and selected in Sound or Keyboard settings before Dictation can hear you 10. That matters on a Mac mini or Mac Studio, where a headset, USB microphone or AirPods do the job.
Why bother? Speech is much faster than typing for first drafts. In a controlled study, English text entered by speech on a phone reached 153 words per minute against 52 on the on-screen keyboard 11, and an analysis of 136 million keystrokes from an online typing test found that the average participant typed 51.56 words per minute 12. Composing and correcting take time too, so real-world gains are smaller than the raw numbers, but the gap is large enough that dictation pays off for anything longer than a sentence or two. The overview of dictation and voice typing covers the technique of dictating well.
The full walkthrough, including the settings that decide accuracy and when to move on to Voice Control or an app, is in How to Use Dictation on a Mac. Short answers: what Dictation on a Mac is, how to turn it off, whether you can type while dictating, dictation on a Mac mini and dictating on an iPhone and sending the text to a Mac. For a quick version of the steps, see voice to text on Mac.
The shortcut is the Microphone key on recent keyboards and a key combination you choose on the rest
Recent Apple keyboards have a Microphone key in the function row. Press and release it for Dictation. Press and hold it and you get Siri instead, if Siri is enabled 13. That single difference explains a common complaint: people who hold the key down expecting dictation get a Siri prompt.
Every Mac also has a configurable Dictation keyboard shortcut. In System Settings > Keyboard > Dictation, the Shortcut menu offers presets (such as pressing the Globe key or Fn twice, or a Command key twice), and Customize lets you record any combination 14. External and older keyboards without a Microphone key rely on this shortcut.
| How you start or stop Dictation | Works on | Notes |
|---|---|---|
| Press the Microphone key once | Recent Apple keyboards | Hold it instead and Siri opens |
| Press the Dictation shortcut | Any keyboard | Presets or a custom combination |
| Edit > Start Dictation | Any app with an Edit menu | Useful when a shortcut conflicts |
| Press Escape | While dictating | Stops and keeps the text |
| Stay silent for 30 seconds 2 | While dictating | Stops automatically |
When a shortcut stops working, the usual causes are another app or keyboard utility claiming the same keys, a "Press Globe key to" setting that changed when you picked a shortcut, or Dictation itself being off. The guide Mac Dictation Shortcut: Keys and Custom Hotkeys maps each option to the keyboard you have. Related questions: where the dictation key is, how to change the dictation shortcut and why the shortcut is not working.
You say punctuation by name, and auto-punctuation adds commas, periods and question marks
Standard Dictation types what you say, and a short set of spoken commands controls layout and symbols. Say "new line" to start a new line and "new paragraph" to start a new paragraph 15. Say a mark's name ("exclamation mark", "open parenthesis") and Dictation types the mark. Say "caps on" to put the next phrase in Title Case 16. Say an emoji's name followed by "emoji", such as "heart emoji", and you get the emoji in supported languages 17.
In supported languages you do not need to say the common marks at all: Dictation inserts commas, periods and question marks automatically, and you can switch this off with Auto-punctuation in Keyboard settings 18. Apple lists 33 language variants with auto-punctuation 19, so in other languages you still speak every mark.
| Say | You get |
|---|---|
| "comma", "period", "question mark" | , . ? (automatic in supported languages) |
| "new line" / "new paragraph" | One or two line breaks |
| "caps on" ... "caps off" | Title Case for the phrase |
| "all caps" | The next word in capitals |
| "numeral" | The next phrase as digits |
| "no space on" ... "no space off" | Words joined without spaces |
| "heart emoji" | The emoji, in supported languages |
The limit of standard Dictation is editing. It has no commands to select, delete or replace words; you fix mistakes with the keyboard (which you can use mid-dictation on Apple silicon) or switch to Voice Control, whose text commands let you say, for example, "Replace cat with dog". The complete list, separated by what works in Dictation and what needs Voice Control, is in Mac Dictation Commands and Punctuation: Full List. Short answers: how to start a new line, how to delete a word and whether Mac dictation adds punctuation automatically.
Voice Control operates the whole Mac by voice, and replaces Dictation while it runs
Voice Control is an accessibility feature, introduced with macOS Catalina in 2019, that lets people "control their Mac entirely with their voice" using on-device speech recognition 20. It does everything Dictation does and adds commands for opening apps, clicking, scrolling, selecting and correcting text, and pressing keys. You turn it on in System Settings > Accessibility > Voice Control. The first time, the Mac downloads its files from Apple, and after that it works without an internet connection 21.
Four ideas cover most of Voice Control:
- Say what you see. "Open Mail", "Scroll down", "Click Done". If you are not sure what to call something, "Show names" or "Show numbers" labels every item on screen so you can say its name or number 22, and "Show grid" overlays a numbered grid for precise clicks on any part of the screen 23.
- Ask for the list. "Show commands" displays the commands available right now, which change with the app and task 24. Pause about half a second between commands said in a row 25.
- Pick a mode. Dictation mode, on by default, types every word that is not a command 26. Command mode makes Voice Control respond only to commands, which avoids typing a command as text by mistake 27. Spelling mode enters text character by character for passwords and web addresses 28. Current macOS also has a Swift mode that writes Swift code from speech 29.
- Teach it your words. Voice Control accepts up to 1,000 custom vocabulary terms, each with a recorded pronunciation 30. Standard Dictation has no equivalent.
The catch is that the two features do not run together: while Voice Control is on, you dictate through Voice Control and standard macOS Dictation is unavailable 5. People who turn Voice Control on by accident often think Dictation is broken, when the fix is to switch Voice Control off.
How to turn it on, use the modes and overlays, and switch it off again is in Voice Control on Mac: Turn It On and Use It. Every command, grouped by job, is in Mac Voice Control Commands: The Complete List. Short answers: how to turn off Voice Control, the Voice Control shortcut, the Voice Control modes, why Voice Control is not working, how to click with Voice Control, how to make a custom command and whether you can use a Mac completely hands-free. People who land on the wrong feature can also check how to turn off VoiceOver, the screen reader ( VoiceOver) that is often confused with Voice Control. For dictation as an accommodation for RSI, limited mobility or other disabilities, see speech to text for accessibility.
Dictation types, Voice Control operates, Siri answers: pick by task
The three voice features on a Mac overlap in name but not in job. Siri answers questions and performs quick actions; it is not built for long text. Dictation writes into whatever field has the cursor. Voice Control runs the computer, with its own dictation built in.
| Dictation | Voice Control | Siri | |
|---|---|---|---|
| Main job | Typing what you say | Operating the whole Mac by voice | Answering requests, quick actions |
| Turn on in | Keyboard > Dictation | Accessibility > Voice Control | Siri settings |
| Start with | Microphone key, shortcut or Edit > Start Dictation | Always listening while on (say "Stop listening" to pause) | Hold the Microphone key, or your Siri shortcut |
| Edits text by voice | No (punctuation and layout only) | Yes: select, replace, delete, format | No |
| Custom words | No | Up to 1,000 terms 30 | No |
| Languages (Apple's list) | 63 variants 3 | 20 variants 31 | Separate list |
| Best for | Messages, notes, documents | Hands-free use, accessibility | Questions, reminders, settings |
Two rules follow. Standard Dictation and Voice Control cannot run at the same time, so pick one. And Dictation is a separate setting from Siri: you turn it on in Keyboard settings, and Siri in its own settings, although the two share the Improve Siri & Dictation privacy choice. The side-by-side comparison and a rule for choosing by task are in Dictation vs Voice Control vs Siri on a Mac. Short answers: whether Siri can take dictation, whether Dictation needs Siri turned on and the most useful Siri commands on a Mac.
Apple Dictation covers 63 language variants, but each extra feature covers fewer
Apple's macOS feature availability page lists 63 language and regional variants for Dictation, from Arabic (Saudi Arabia) to Vietnamese, with English listed separately for each region 3. The features on top of basic dictation each cover a smaller set. On-device dictation, which keeps audio on the Mac and needs a download of speech models, covers 48 variants 4. Auto-punctuation covers 33 19. Voice Control covers 20 31. The new macOS 27 model, which Apple calls "More advanced Dictation", is available only in 9 English variants 32.
You add each language separately in Keyboard > Dictation > Languages > Edit. With more than one set up, you switch by clicking the language label next to the cursor or by pressing the Globe key and choosing one 33. Dictation listens in one selected language at a time 33, so if the wrong one is active, the text can come out as nonsense.
The table of every language and what works in each is in Apple Dictation Languages on Mac: The Full List, and the steps to add and switch languages are on the Mac dictation language page. Short answers: why Mac dictation types in the wrong language, whether it understands two languages at once and how to dictate in Chinese on a Mac. Accents, translation and dictation in other languages across devices are covered in dictation languages, accents and voice translation.
On Apple silicon, most dictation never leaves the Mac
Apple Dictation is a neural speech recognizer that runs in one of two places: on the Mac, or on Apple's servers. Which one applies to you depends on the Mac, the language and where you are typing. You do not have to guess: Keyboard settings show whether your general text dictation (messages and notes, but not search boxes) is processed on your device and not sent to Siri servers 34.
Apple's troubleshooting guide says Dictation may need an internet connection, and tells you to check Keyboard settings to see whether you need one 35. In practice, an Apple silicon Mac dictating in one of the 48 on-device variants 4 keeps the work on the Mac, while a language outside that list is sent to Apple's servers. The offline dictation on Mac page covers working without a connection in more detail.
Accuracy depends less on the engine than on the input. Apple's own advice is to select the right microphone and raise its input volume when the Mac does not respond 36, and to use a headset microphone in noisy or echoing rooms 37. Dictation also has its own Microphone source menu in Keyboard settings; on Automatic, the Mac picks the device it thinks you are most likely to use 38, which is not always the one in front of you.
Apple Dictation has no voice training session, unlike Dragon for Mac, whose Voice Training had you read a story aloud so it could learn how you speak 39. The closest built-in way to teach a Mac specialist words is Voice Control's custom vocabulary 30. Third-party apps can reach Apple's speech models too: the Speech framework's SpeechAnalyzer class, available from macOS 26, gives developers speech-to-text with Apple's own models 40.
What runs where, how accuracy is decided and why there is no voice training is in How Apple Dictation Works: On-Device, Server and AI. Short answers: whether Apple Dictation works without internet, whether it uses AI, whether it is any good, whether it learns your voice and how to add custom words. The Speech framework and the Neural Engine are defined in the glossary, and how speech recognition works explains the technology in general.
Apple keeps your dictation audio only if you opt in
Apple's privacy position on dictation comes down to three statements from its own documentation. Dictation that is processed on its servers is not stored unless you opt in to Improve Siri & Dictation 41. If you do opt in by choosing Share Audio Recordings, Apple stores audio of your Siri and Dictation interactions and may review a sample 42, and only Apple employees under confidentiality obligations can access that audio 43. Separately, Apple links request history, including transcripts, to a random identifier that rotates multiple times per hour rather than to your Apple Account, and may keep it for up to two years 44.
You can change your mind at any time: go to System Settings > Privacy & Security > Analytics & Improvements and turn Improve Siri & Dictation off 45. When Dictation runs on the device, your audio stays on the Mac regardless of this setting 34.
Consumer privacy settings are not a compliance guarantee. Rules for health, legal and client data put obligations on the organization that handles the data, such as agreements with vendors and controls it can audit, which a personal setting cannot meet on its own. Check with whoever is responsible for compliance before dictating protected information. The settings, what Apple keeps and how it compares with cloud dictation apps are in Is Apple Dictation Private? What Apple Keeps. Short answers: whether Apple Dictation is HIPAA compliant, whether Apple keeps recordings of what you dictate and how to delete Siri and Dictation history on a Mac. Privacy across every kind of speech-to-text tool is the subject of speech to text privacy.
When Mac dictation is not working, check five points in order
Dictation is a short chain: a key press starts it, a microphone hears you, a language model recognizes the words, Voice Control must not be in the way, and the app must accept the text. Each link fails with its own symptom, so the symptom tells you where to look.
- Nothing happens when you press the key. Dictation is off, or the shortcut you press is not the one in Keyboard settings. Turn Dictation on and check the Shortcut menu.
- The microphone icon appears but no text arrives. The Mac is listening to the wrong input. Check Microphone source under Dictation and the input level in Sound > Input 36. Also check that the app has not been denied the microphone: macOS lets you decide which apps can use it 46.
- The text is garbled or in another language. The wrong dictation language is active. Switch with the Globe key or the label next to the cursor.
- Dictation is greyed out or behaves differently. Voice Control is on and has replaced it 5.
- It works in Notes but not in one app. That app is the problem, not Dictation. See the section on Mac apps below.
If none of those apply, typically after a macOS update, turn Dictation off and on again and restart the Mac before trying anything drastic. Never weaken system security (some pages suggest disabling System Integrity Protection) to fix dictation. Dictation that keeps stopping is often the 30-second silence timeout doing its job 2.
The full diagnosis, with fixes ordered from safest to most drastic, is in Why Mac Dictation Is Not Working, and How to Fix It, and the quick symptom checklist is on the Mac dictation not working page. Short answers: why Mac dictation keeps stopping, how to change the microphone dictation uses and how to reset dictation on a Mac.
Apple Dictation works in almost every Mac app, with a few known exceptions
Because Dictation acts like a keyboard, it types into any app with a text field: Pages, Notes, Mail, Messages, TextEdit, Safari and most third-party apps. The exceptions come from apps that handle text input in their own way.
Microsoft Word for Mac adds Microsoft's own Dictate button, which is separate from Apple Dictation. In Word for Mac you start it from Home > Dictate or with Option + F1 47. It needs a Microsoft 365 subscription, a microphone and a reliable internet connection 48. A missing or greyed-out button usually means one of these conditions is not met. Apple Dictation still works in Word if you prefer it.
Google Docs has its own voice typing feature in the browser, which runs on Google's speech service and has its own browser requirements. Apple Dictation also types into Google Docs in any browser, which is often the simpler route on a Mac.
Terminals and AI coding tools are where Apple Dictation is least reliable. Command lines need exact characters, and some terminal apps handle dictated input poorly. Voice Control's Spelling mode helps for short commands, and the Claude Code dictation page covers dictating prompts to AI coding tools.
| App | Apple Dictation | App's own voice feature |
|---|---|---|
| Pages, Notes, Mail, TextEdit | Works | None needed |
| Microsoft Word for Mac | Works | Dictate (Microsoft 365, online) |
| Google Docs in a browser | Works | Voice typing (Google's service) |
| Terminal and coding tools | Least reliable | None; use Spelling mode or an app |
| Existing recordings (memos, meetings) | Not dictation | Use a transcription tool |
Turning a recording you already have into text is a different task: transcription works on an existing recording, while dictation types as you speak. For a one-off file, the free audio to text tool does it in the browser. The full app-by-app table, why the exceptions happen and the fix for each is in Dictation in Mac Apps: Word, Pages, Notes, Mail, Terminal. Short answers: how to dictate in Word on a Mac, why Dictate is greyed out in Word, whether Mac dictation works in Google Docs, how to dictate in Terminal and how to transcribe a voice memo on a Mac. Voice typing in every major app, on every platform, is covered in voice typing in Google Docs, Word and every other app. Some apps also ask for the Accessibility permission before they can type into other apps; that applies to third-party dictation tools, not to Apple Dictation.
Mac dictation changed most in 2012, 2019 and 2026
Mac dictation has gone from short clips processed on Apple's servers to dictation of any length, with more of it running on the Mac itself.
| Release | Year | What changed for dictation |
|---|---|---|
| OS X Mountain Lion | 2012 | Dictation arrives, typing anywhere you can type 6 |
| OS X Mavericks | 2013 | Optional Enhanced Dictation removes the 30-second limit and works offline 49 |
| macOS Catalina | 2019 | Voice Control for operating the whole Mac by voice 20 |
| Later releases on Apple silicon | Recent | On-device dictation 4, auto-punctuation 18, emoji 17 and typing while dictating 8 |
| macOS Tahoe 26 | Before macOS 27 | SpeechAnalyzer for third-party apps; last release for Intel Macs 50 |
| macOS 27 | 2026 | More advanced on-device Dictation model for M3 Macs with 12GB 51 |
The first Mac dictation was processed on Apple's servers 6 and stopped after about 30 seconds of speech 49; Enhanced Dictation in OS X Mavericks was the workaround, an optional download that allowed continuous and offline dictation 49. That setting does not appear in Apple's current Mac User Guide; on Apple silicon, the 48 on-device language variants are processed on the Mac instead 4.
The newest change is in macOS 27. Apple describes "a powerful new on-device model" that improves Dictation accuracy, available on Macs with M3 or later and at least 12GB of unified memory 51, in English only 32. Every other Mac that runs macOS 27 keeps the standard on-device model. Intel Macs cannot run macOS 27 at all: Apple's macOS 27 compatibility list contains only Apple silicon Macs and the MacBook Neo 52, while macOS Tahoe 26 still lists Intel models such as the 2019 16-inch MacBook Pro 53, so Tahoe is where Intel Macs stop 50.
The version-by-version table, with the Macs each feature needs, is in Mac Dictation by macOS Version: What Changed, and the new model has its own macOS 27 dictation page. Short answers: whether the MacBook Neo gets advanced dictation, what happened to Enhanced Dictation and whether dictation works on an Intel Mac. Apple Intelligence, the umbrella name for the new model, is defined in the glossary.
Start with Apple Dictation, and move to a dedicated app when you outgrow it
Apple Dictation is free and good enough for messages, notes and short documents. A dedicated Mac dictation app earns its place in four situations: you dictate long text and want fewer corrections, you use words Apple keeps missing (names, drug names, code), you want the app to clean up filler words and format what you said, or you need to type reliably into places where Apple Dictation struggles, such as terminals.
Mac dictation apps fall into four groups:
| Group | Where speech is processed | Strength | Trade-off |
|---|---|---|---|
| Built-in (Dictation, Voice Control) | On the Mac or Apple's servers | Free, system-wide, Voice Control editing | No custom words in Dictation, editing needs Voice Control |
| On-device apps | On the Mac | Privacy, works offline, often Whisper or Parakeet models | Needs a recent Mac with enough memory |
| Cloud AI apps | Vendor's servers | AI rewriting and formatting | Audio leaves the Mac, usually a subscription |
| File transcription apps | Either | Long recordings, meetings | Not live dictation |
One long-standing option is gone: Nuance stopped providing updates for Dragon Professional Individual for Mac after 22 October 2018 54. The Dragon for Mac page covers what former Dragon users can switch to. Open-source Mac apps that run Whisper or Parakeet models locally are free and keep audio on the Mac; they ask more of you in setup.
Before paying for any app, test five things on your own words: accuracy on your vocabulary, the delay between speaking and text, whether it types into the apps you use, where your audio goes, and the price over a year. Yap, which we make, is an on-device dictation app for Mac and Windows, and it is one of the options in that comparison; the download page and pricing page have its current details. If you are choosing between cloud tools, the Wispr Flow alternative page and how to choose a dictation app set out the trade-offs.
The four groups, the five tests and a table by use case are in Best Dictation Apps for Mac: Built-In vs Third-Party. Short answers: whether there is a free dictation app for Mac, whether Apple Dictation is as good as Wispr Flow, how to use Whisper for dictation on a Mac and the best medical dictation software for Mac. The wider market, Windows and Mac together, is covered in dictation software: how to choose the right app.
The same tasks on other devices
If you also use a Windows PC, the equivalents are Windows voice typing and Voice Access, covered in dictation on Windows and the Windows dictation page. On an iPhone or iPad, Dictation works the same way from the keyboard's microphone button, as described in dictation and voice to text on iPhone and Android. For professional use (doctors, lawyers, writers, students), see dictation for work. And if you want to know how fast you type today, before deciding whether dictation will save you time, see typing speed.

Questions people ask
- Can Mac dictation understand two languages at once?Apple documents switching between languages you have added, not understanding two languages in one sentence. Set up both languages, then switch with the Globe key or the language label next to the cursor before each part you dictate.
- Can Siri take dictation on a Mac?No, Siri is not the Mac feature for typing what you say into a document. Apple describes Dictation for entering text anywhere you can type, while Siri's writing help drafts and refines text in a Siri conversation.
- Can you dictate on an iPhone and send the text to a Mac?Not directly, but you can move the text with Universal Clipboard. Dictate on the iPhone, copy the text, then paste it on the Mac. Both devices must be signed in to the same Apple Account and within 10 meters of each other.
- Can you type while dictating on a Mac?Yes, on a Mac with Apple silicon. Apple says you can keep using the keyboard while Dictation listens, and the cursor stops pulsing while you type and resumes when you stop. Apple's pages describe this only for Apple silicon Macs, so check your own machine before you rely on it.
- Can you use a Mac completely hands-free?Yes, a Mac can be run by voice alone with Voice Control, which Apple introduced in 2019 so that people can use a Mac without a keyboard, mouse or trackpad. Commands cover moving around, clicking, editing text and pressing keys. The first turn-on needs an internet connection, and what works depends on the app you are in.
- Can you use dictation on a Mac mini?Yes. Dictation is part of macOS, so it runs on a Mac mini, but Apple's Mac mini specifications list no built-in microphone. Connect a microphone, such as AirPods or a USB or headset microphone, select it in Sound settings, and Dictation can hear you.
- Do you need Siri turned on to use dictation on a Mac?No. Dictation has its own switch in Keyboard settings, and Apple's steps do not make Siri a requirement for it. Siri is involved in Dictation only when you hold the Microphone key, if Siri is enabled.
- Does Apple Dictation learn your voice? No. Apple Dictation has no voice-training step, and Apple's Dictation page does not say that it builds a profile of your voice. If you opt in to Improve Siri and Dictation, Apple may store and review a sample of your audio, which is not a personal voice profile.
- Does Apple Dictation use AI?Yes. Apple's newest Dictation model, in macOS 27, is an Apple Intelligence model, and Apple's published speech research uses neural networks, a form of machine learning. The sources we checked do not say that Dictation writes or rewrites your text.
- Does Apple Dictation work without internet?Yes, but only on an Apple silicon Mac and only for a language on Apple's on-device list. In that case the speech model runs on the Mac and works without a network connection. Intel Macs and the other languages send your words to Apple, so Dictation needs a connection there.
- Does Apple keep recordings of what you dictate? No, not by default. Apple does not store the audio of server dictation unless you choose Share Audio Recordings, and on-device dictation is not sent to Apple's servers at all. Apple does keep Siri and Dictation request history, with transcripts, for up to two years under a random identifier, so text can be kept even when audio is not.
- Does dictation work on an Intel Mac?Yes. Dictation works on Intel Macs, including the MacBook Pro and the 2019 Mac Pro, through macOS Tahoe 26, which is the last macOS for Intel in Apple's compatibility lists. Apple says Dictation on an Intel-based Mac sends your speech to Apple to process, and it ties some features to Apple silicon.
- Does Dragon NaturallySpeaking work on a Mac?No. Nuance stopped updating Dragon Professional Individual for Mac in 2018, and we found no current Dragon product for macOS. Dragon's current desktop version is for Windows, so on a Mac, start with Apple's built-in Dictation or a Mac dictation app, and test it on your own writing.
- Does Mac dictation add punctuation automatically?Yes, in supported languages. Mac Dictation adds commas, periods and question marks as you speak, without a spoken command, and Apple's user guide names only those three marks. Colons and semicolons are not on that list, so say them by name, and you can turn the feature off in Keyboard settings.
- Does Mac dictation work in Google Docs?Yes, through Google's own voice typing, which runs on your web browser's speech service. Start it from Tools > Voice typing in Chrome, Edge or Safari, and check the browser's microphone permission if it does not hear you. Google's help does not describe Apple Dictation in Docs, and we did not test it there.
- Does the MacBook Neo get advanced dictation? No. The MacBook Neo can run macOS 27 and its standard Dictation, but Apple's advanced Dictation model needs an M3 or later chip and at least 12GB of unified memory. The Neo has an A18 Pro chip and 8GB, so it misses both conditions.
- How do you add custom words to Mac dictation?Standard Dictation on a Mac has no custom word list, and Apple's Dictation help describes no training step. To add your own words, turn on Voice Control and add terms under Vocabulary in its settings, up to 1,000 of them, optionally recording how each one is pronounced. While Voice Control is on, it replaces standard Dictation, so the words apply when you dictate through Voice Control.
- How do you change the dictation shortcut on a Mac?Open System Settings, choose Keyboard, go to Dictation, and click the Shortcut pop-up menu. Pick a preset from the list, or choose Customize and press the keys you want, then check that the fn key option matches. A combination that another command already uses will not work.
- How do you change the microphone Mac dictation uses?Open System Settings, go to Keyboard, then Dictation, and choose your microphone in the Microphone source menu. If the Mac has no built-in microphone, connect an external one first. Then select it in Sound settings and raise its input volume, because the Dictation menu does not set the volume.
- How do you click with Voice Control on a Mac?Say Click followed by an item's name, such as Click Done, or by its number after you say Show numbers. When an item has no label, say Show numbers and then the number you see, or say Show grid and then the number of the cell you want. Apple's Voice Control commands page gives these examples.
- How do you delete a word with Mac dictation?Standard Dictation on a Mac has no spoken command to delete a word. Press Option-Delete on the keyboard to remove the word before the cursor, or turn on Voice Control, show the numbers, and say "Delete" followed by the word's number.
- How do you delete Siri and Dictation history on a Mac?On macOS Tahoe 26, choose Apple menu > System Settings, click Apple Intelligence & Siri in the sidebar, click Delete Siri & Dictation History, then click Delete to confirm. Your Mac must be connected to the internet, and Apple's steps remove only history that is less than six months old.
- How do you dictate an email in Mac Mail?In Mac Mail, turn on Dictation in System Settings > Keyboard, click in the message body, press your Dictation shortcut and speak. Apple says Dictation works wherever you can type, but its pages do not name Mail, so test a short message before you rely on it for long emails.
- How do you dictate in Chinese on a Mac?Add Mandarin Chinese in Keyboard settings under Dictation, using the Edit button next to Languages, and choose the Mandarin row that matches where you live. Then switch to it with the Globe key or the language label next to the cursor before you speak. Apple does not document which script the output uses, so test a sentence first.
- How do you dictate in Outlook on a Mac?In Outlook for Mac, start a new email or a reply, then go to Message and select Dictate. You can also press Option + F1. Dictate needs a Microsoft 365 subscription, a microphone and a reliable internet connection, and Apple Dictation is a fallback you can test in the message body.
- How do you dictate in Pages on a Mac?Place the insertion point where the text should go in your Pages document, then choose Edit > Start Dictation. Speak, say punctuation by name, and click Done below the microphone when you finish. Dictation must be turned on in Keyboard settings before the menu command works.
- How do you dictate in PowerPoint on a Mac?In PowerPoint for Mac, the supported route is Microsoft's Dictate button, which needs a Microsoft 365 subscription, a microphone and a reliable internet connection. Look for it on the Home tab in the Voice section, the place Microsoft documents for PowerPoint on the web. Microsoft's PowerPoint page gives no Mac steps, so confirm the button in your version and test Apple Dictation as a fallback.
- How do you dictate in Terminal on a Mac?Apple does not document its Dictation feature in Terminal, so we could not confirm that it types there. The documented route is Claude Code's own dictation: run /voice in Terminal, sign in with a Claude.ai account, and allow your terminal app to use the microphone in macOS.
- How do you dictate in Word on a Mac?In Word for Mac, open a document, go to Home > Dictate while signed into a Microsoft 365 account, and speak once the button turns on. Word uses Microsoft's own Dictate rather than Apple Dictation, and the feature is only available to Microsoft 365 subscribers.
- How do you improve Mac dictation accuracy?Improve Mac dictation accuracy in this order: put the microphone close, quiet the room, set one dictation language, and speak in full sentences. Apple Dictation has no voice-training step, so you cannot teach it your voice. For names and jargon, add terms through Voice Control, which accepts up to 1,000 vocabulary terms.
- How do you make a custom Voice Control command on a Mac?Open Voice Control settings, click Commands, click the button for a new command, then enter a name of two or more words, choose the app and the action, and click Done. You can also say Make this speakable to open the same window. Apple's customization page sets the naming rules.
- How do you press Enter with Mac dictation? To press Enter with Mac Dictation, say "new line" for one Return press or "new paragraph" for two, because Apple defines the commands that way. Apple's current Dictation page does not say that the Return key itself works during dictation, so test it on your Mac before you rely on it.
- How do you reset dictation on a Mac?Apple does not describe a reset for Dictation. The step it supports is to turn Dictation off and on in Keyboard settings, then test in Notes and restart the Mac if it still fails. Do not delete speech preference files or turn off System Integrity Protection, which some third-party guides suggest.
- How do you start a new line with Mac dictation?Say "new line" while you dictate and Mac Dictation starts a new line, the same as pressing Return once. Say "new paragraph" for a new paragraph, the same as pressing Return twice. Apple says these breaks appear when you finish dictating, not while you speak.
- How do you transcribe a meeting on a Mac?Use Live Captions on an Apple silicon Mac to read the meeting as it happens, or record the meeting and transcribe the file afterward with Voice Memos or a Whisper-based app. Before you record anyone, check the consent rules where each participant is, because they differ by state and country.
- How do you transcribe an audio file on a Mac?Open the recording in the Voice Memos app if your Mac, macOS version and region support transcription, then copy the text you need. If Voice Memos is not available to you, import the file into an app that runs a speech model on your Mac, such as Buzz or MacWhisper, and check the transcript against the audio.
- How do you turn a voice memo into text on a Mac?Open the recording in the Voice Memos app on your Mac, view its transcript, then select the text, Control-click it and choose Copy. Apple's macOS Sequoia page requires a Mac with Apple silicon, and transcription is not offered in every country or region, so an audio file transcribed on your own computer is the fallback.
- How do you turn off dictation on a Mac?Turn Dictation off in System Settings: choose Keyboard in the sidebar, go to Dictation, and turn it off. Turning off Siri does not turn off Dictation, and you can stop the fn or Globe key from starting it by setting that key to Do Nothing.
- How do you turn off Voice Control on a Mac?Open System Settings, click Accessibility, click Voice Control, and switch it off. To pause it without turning it off, say Stop listening, and say Start listening to resume.
- How do you turn off VoiceOver on a Mac?Press Command-F5 to turn VoiceOver off on a Mac, or, if your Mac or Magic Keyboard has Touch ID, hold Command and quickly press Touch ID three times. If the shortcut does nothing, open System Settings, go to Accessibility, click VoiceOver and switch it off.
- How do you use Mac dictation with Claude Code?On a Mac, the documented way to dictate into Claude Code is its own /voice command, run in the terminal. Sign in with a Claude.ai account, run /voice, then allow your terminal app to use the microphone in System Settings. Apple's Dictation is not documented for Terminal, so test it before you rely on it.
- How do you use VoiceOver on a Mac?Press Command-F5 to turn VoiceOver on, then learn three commands: press VO and an arrow key to move the VoiceOver cursor, press VO-Space bar to click, and press Control to pause the speech. VO is the VoiceOver modifier, which is Control and Option together or Caps Lock by default.
- How do you use Whisper for dictation on a Mac?Most people should use a Mac app that runs a Whisper model for them, such as Handy or the free plan of Superwhisper for live dictation, and Buzz for recordings. To run Whisper yourself, build the open source whisper.cpp project, download a model file, convert your audio to 16-bit WAV and run its whisper-cli tool. The command-line tool transcribes files, so it does not type into other apps.
- Is Apple Dictation any good? For everyday English in a quiet room with a decent microphone, Apple Dictation is usable and free. It is weaker with names, technical terms, noise and mixed languages. The one independent test we found gave Apple's speech API a 10.3 percent word error rate on a single recording, so expect to proofread.
- Is Apple Dictation as good as Wispr Flow?We found no independent test that ranks Apple Dictation and Wispr Flow on a Mac. Apple Dictation is free, built in and adds basic punctuation, while Wispr Flow says it does more cleanup but sends your audio to servers and caps its free plan each week. Test both on the same writing before you decide.
- Is Apple Dictation better than Whisper on a Mac?Not in every case. In the one published Mac test we found, a large Whisper model was far more accurate than Apple's speech engine but took about four times as long. Apple's engine is free, fast and already on your Mac, so start there, and test a Whisper app on your own writing before you switch.
- Is Apple Dictation HIPAA compliant?Apple does not describe Dictation as HIPAA compliant, and its published Siri and Dictation privacy pages do not mention HIPAA or a business associate agreement. Whether it fits your practice depends on where the speech is processed and on a written agreement, which we did not find for Dictation, so ask Apple and your compliance officer before you rely on it for patient information.
- Is Apple Dictation safe to use?Yes, for everyday personal use Apple Dictation is a sound choice, and it is safest when your Mac processes speech on the device. Server dictation does not store your audio by default, but Apple may keep request history with transcripts for up to two years. It is not a compliance guarantee, so check a written agreement before you dictate patient, client or other regulated information.
- Is Mac dictation free?Yes. Dictation is part of macOS, so the built-in version costs nothing and needs no app to install. Free third-party apps can add offline speech models, but some free plans limit how many words you can dictate, and paid apps are only worth buying for features the built-in tool lacks.
- Is there a free dictation app for Mac?Yes. Apple Dictation is built into macOS, so you do not need to buy anything to use it, and it is enough for many people's short messages and notes. Free third-party apps add offline speech models and recording transcription, but some free plans cap how much you can dictate, such as Wispr Flow, so check the limit before you depend on one.
- Is there a Mac dictation commands cheat sheet or PDF?We did not find an official PDF from Apple for Mac Dictation commands. Apple publishes the list as a web page, so you can print it to PDF from your browser, or use the printable table in our guide. Older third-party sheets, such as a 2019 MacMost PDF, list editing commands that Apple's current Dictation list does not include.
- What are the best open-source dictation apps for Mac?The open-source Mac dictation apps worth testing are Handy and HEX, which are both MIT-licensed and suited to live dictation, plus VoiceInk, which is GPL-3.0 open source but sold as a paid Mac app, and Buzz, which is best for transcribing files. Before you install, check which HEX you have, because the original Swift app called Hex was archived in October 2026.
- What are the most useful Siri commands on a Mac?Our picks for the most useful Siri commands on a Mac are quick answers, calculations and settings changes such as turning on Voice Control. Siri needs to be turned on and connected to the internet, and its writing help is part of Siri AI on macOS 27.
- What are the Voice Control modes on a Mac?Voice Control has three text modes: Dictation mode, the default, which types your words; Command mode, which acts only on commands; and Spelling mode, which types one character at a time. Apple also lists Swift mode for writing Swift code.
- What happened to Enhanced Dictation on Mac?Apple removed Enhanced Dictation in macOS Catalina, in 2019. It had been an optional download that let Mac dictation work offline, and no current Apple Dictation page mentions it. Apple silicon Macs now process general text Dictation on the device in many languages, and Intel Macs still send your speech to Apple.
- What is dictation on a Mac?Dictation on a Mac is a built-in feature of macOS that types what you say at the insertion point, in any app where you can type. Apple says you can speak to enter text anywhere you can type it, and for general text such as messages and notes, the speech is processed on your device.
- What is the best medical dictation software for Mac?We could not confirm a single best medical dictation app for Mac. Check three things before you choose: whether the product runs on a Mac at all, whether the vendor will sign a business associate agreement if it handles patient audio, and whether the audio is processed on your Mac or sent to servers. Accuracy in the one clinical pilot we found was close between Dragon Medical One and a Whisper-based system.
- What is the best offline speech to text for Mac?For most people, the best offline option is Apple Dictation with its on-device processing turned on, as long as your language is on Apple's on-device list. For recordings, or for a language that list does not cover, use an on-device app that runs a Whisper model, and check that its cloud options are off.
- What is the Dictate shortcut in Word on a Mac?In Word for Mac, the Dictate shortcut is Option + F1, as Microsoft documents it. On a laptop or condensed keyboard with an fn key, press fn + Option + F1 instead, and Dictate works only with a Microsoft 365 subscription.
- What is the Voice Control shortcut on a Mac?Apple does not document a keyboard shortcut for Voice Control on a Mac. Its documentation lists System Settings and Siri as the ways to turn Voice Control on. The Dictation shortcut is a separate feature and does not switch Voice Control on or off.
- What is the VoiceOver modifier key on a Mac?The VoiceOver modifier, written VO, is the key you hold with other keys to give VoiceOver a command. By default it is Control and Option pressed together, or Caps Lock on its own, and Apple writes each command as VO plus another key.
- What is VoiceOver on a Mac?VoiceOver is the screen reader built into macOS. It speaks what is on the screen, so you can find and use windows, menus and text by listening, and you turn it on or off with Command-F5. It reads text aloud and does not write what you say, which is the job of Dictation.
- Where is the dictation key on a Mac keyboard?A Mac has a dedicated dictation key only when its keyboard has a Microphone key, and that key sits in the row of function keys across the top. Keyboards without one start Dictation with the shortcut you set in Keyboard settings, such as pressing the fn key twice.
- Why does Mac dictation keep stopping?Mac dictation stops by itself when it detects no speech for 30 seconds. That silence timer is the documented cause, and Apple sets no limit on how long you can dictate. If it stops well before 30 seconds of quiet, the timer does not explain it, so check the microphone and the connection, then restart Dictation.
- Why does Mac dictation not work with an external microphone?Mac dictation usually ignores an external microphone because the Mac is listening to a different input, or because the microphone's input volume is too low. Choose the microphone by name in Keyboard settings under Microphone source, then raise its input volume in Sound settings. A Mac without an internal microphone needs an external one connected and selected before Dictation can work.
- Why does Mac dictation type in the wrong language?Mac Dictation writes in the language that is active when you speak, so speech in another language comes out wrong. Check the language next to the cursor, switch with the Globe key, and add your language and region under Dictation in Keyboard settings if it is missing.
- Why is Apple Dictation so bad?Apple Dictation is weakest with a distant or noisy microphone, a sentence that mixes languages, and names or technical words, and you can often change those conditions. The one independent test we found gave Apple's speech API a 10.3 percent word error rate on a single recording, and we found no measurement showing that it has got worse.
- Why is Dictate greyed out in Word on a Mac?Dictate is greyed out in Word for Mac when the document is read-only, when Word is not signed in with an active Microsoft 365 subscription, or when macOS does not let Word use the microphone. Test a new blank document first, which tells a document problem apart from an account or Mac problem.
- Why is the dictation shortcut not working on my Mac?A Dictation shortcut that does nothing on a Mac usually means the key you press is not the one set in Keyboard settings, or another setting blocks it. Test Edit > Start Dictation first: if the menu item works, the key or its shortcut is at fault, and if it does not, check whether Dictation is on, Voice Control is on, or another shortcut is using the same keys.
- Why is Voice Control not working on my Mac?Voice Control may be paused, its one-time download may not have finished, the app may lack microphone access, or your language may not be on Apple's list. Check those four first, then the microphone set-up, before you assume the feature is broken.

- Accessibility permission (macOS)Accessibility permission is a macOS setting that lets a specific app read and control other apps through the system's accessibility features. macOS keeps it under Privacy & Security, and an app gets no access until you allow it there.
- Apple DictationApple Dictation is the free, built-in feature that types what you say into any text field on a Mac. Apple also calls it Mac Dictation, macOS Dictation or keyboard dictation.
- Apple IntelligenceApple Intelligence is the name Apple gives to its AI features across its devices. Its on-device models can improve Dictation on newer Macs, and Apple says apps can use the same models.
- Apple siliconApple silicon is the family of chips Apple designs for its own computers, starting with certain Macs in late 2020. Each chip puts several computer components on one piece of silicon, which Apple calls a system on a chip.
- Enhanced DictationEnhanced Dictation was a Mac option, available from OS X Mavericks, that lets you dictate without an internet connection after a download. Apple's help for macOS Mojave describes it, but Apple's later Dictation pages do not mention it.
- Globe key (Fn key)The Globe key, also called the Fn key or function key, is a modifier on Apple keyboards. In Keyboard settings you choose what a press does, such as switching input source, starting Dictation or doing nothing.
- Improve Siri & DictationImprove Siri & Dictation is the Mac setting that controls whether Apple may store and review audio from your Siri and Dictation requests. When you first turn on Dictation, the same choice is labeled Share Audio Recordings.
- Microphone key (dictation key)The Microphone key is a key on some Mac keyboards that starts Apple Dictation when you press and release it. Pressing and holding it activates Siri instead, if Siri is turned on.
- Neural EngineThe Apple Neural Engine (ANE) is a block of hardware inside Apple's chips that runs machine learning models efficiently. Speech models can run on it, and Apple uses it for on-device machine learning inference.
- SiriSiri is Apple's built-in voice assistant. You speak a request and it answers or carries out an action, while Dictation types what you say into a text field instead.
- Speech framework (Apple)The Speech framework is Apple's developer toolkit for turning audio into text inside an app. It includes the older SFSpeechRecognizer class and the newer SpeechAnalyzer, which Apple says transcribes entirely on the device once its models are downloaded.
- Voice Control (Apple)Voice Control is Apple's feature for controlling a Mac with spoken commands, including opening apps, clicking items and editing text. When it is on, it also handles dictation, so standard macOS Dictation is not available.
- VoiceOverVoiceOver is the screen reader built into macOS, which speaks what is on the screen so you can use the Mac without seeing it. It does the reverse of dictation: it reads text aloud rather than writing your speech.
