Dictation software
Best Dictation Software and Apps, Compared by Need
There is no single best dictation software. Start with the dictation built into your Mac, Windows PC or phone, and pay for an app only when you need typing in every program, offline processing you can check, AI cleanup or a specialist vocabulary. Then test accuracy on your own writing, because your microphone and voice matter more than the brand.

There is no single best dictation software. The best app types accurately in the programs you write in, runs on your platform, and fits the privacy and price you accept. For most people that starts with the dictation already on the device, which costs nothing, and a paid app earns its price only for what the free tool cannot do. This guide gives a decision table by platform and need, the prices and limits we checked on 2026-10-16, and a short test to run on your own writing before you pay. Yap, which we make, is an on-device dictation app for Mac and Windows, and it appears below only where it fits the comparison.
The best dictation software is the one that passes a test on your own writing
Accuracy depends on conditions more than on the brand. In one study, read sentences recorded in a studio had a word error rate of 3.7% with deep neural network models 1. In the same paper, a deep neural network recognizer had a word error rate of 12.0% with a single distant ceiling microphone in an apartment 2. The lesson for dictation is that recording conditions change the error rate, so test with the microphone you will use. Nuance's Dragon guidance puts a headset microphone about an inch from the side of the mouth, but not touching it 3.
Word error rate (WER) is the score most accuracy claims use. Researchers describe it as 4. The denominator is the total number of words in the correct transcript 5. Read the word error rate entry before you compare numbers from different tests, because a vendor's score on its own test audio does not predict how the app will handle your writing.
Speaker matters too. Across five commercial speech recognition systems, the average word error rate was 0.35 for Black speakers and 0.19 for white speakers 6. A system can serve different speakers unevenly, so a test with your own voice is the test that matters most for you.
Some apps in this guide run Whisper models. Superwhisper's free plan uses local Whisper models 7, and the model's authors report that, compared with humans, its accuracy and robustness approach human levels 8. That is a result on the authors' benchmarks. We found no independent test that ranks the consumer apps in this guide on the same audio, so the most accurate dictation software question explains what can and cannot be concluded.
Start with the free dictation already on your device
The built-in tools are the first thing to try, because they cost nothing and need no subscription. On a Mac, Apple's Dictation help says that general text dictation is handled on your device: voice inputs and transcripts for it are 9. Apple says you can check the Keyboard settings to see which setting applies to you. Its examples of general text are composing messages and notes, and dictating in a search box is not part of that example 10.
Apple's Dictation also flags uncertainty. Mac Dictation underlines ambiguous text in blue. Apple's example is the result "flour" when you intended "flower" 11. That makes the underline a useful editing aid as well as a typing aid.
On Windows, the built-in tool depends on the internet. Voice typing needs an internet connection, a working microphone and the cursor in a text box 12, and Microsoft says its recognition is online and powered by Azure Speech services 13. If you need to dictate offline on Windows, the built-in tool will not do it, and you need a different app that processes speech locally. Verify that claim yourself with the test below.
The free tool is enough when three things hold. You dictate short messages, notes and drafts in a few apps. The platform's processing and internet terms are acceptable to you. And you do not need AI rewriting or a long list of specialist terms. If all three hold, keep the money. For free options beyond the built-in tools, see the free dictation software guide, or use free dictation in the browser for a quick try.
Pay for every-app typing, offline privacy, AI cleanup or a specialist vocabulary
A paid app earns its cost in three situations. Each one maps to a feature you can check on the vendor's page before you buy.
- Offline processing you can check. Superwhisper's free plan gives unlimited dictation with local Whisper models 7. MacWhisper says it processes sensitive content locally, without data ever leaving the Mac 14. That is the vendor's description, and we did not test it independently.
- AI cleanup and rewriting. Superwhisper's Pro plan adds cloud models, AI processing, file transcription and more 15. Cloud models and AI processing send your audio or text to a service, so you are paying for a different privacy trade than on the local models.
- A specialist vocabulary. Check before you pay. Superwhisper's free plan already includes custom vocabulary and text replacements 7, so vocabulary alone is not a reason to buy there. Look at the custom vocabulary feature of any app you consider.
The price model matters as much as the price. A subscription costs more every year, while a perpetual license is paid once. Superwhisper lists monthly, annual and lifetime options, and its lifetime Pro license is $249.99 16. Compare the total cost over the years you expect to use the app, not the monthly figure alone.
The leading apps compared on platform, processing, price model and AI
The table compares what each vendor or source states, with the date we checked it. Where a page does not state something, the table says so instead of filling the gap.
| App | Free tier | Listed paid price | What the checked source says |
|---|---|---|---|
| Apple Dictation (Mac) | Built into macOS | No separate price | General text processed on the device 9 |
| Windows voice typing | Built into Windows | No separate price | Online, powered by Azure Speech 13 |
| Wispr Flow | 2,000 words per week on desktop 17 | Pro $12 per user per month 18 | Processing not stated on the pricing page |
| Superwhisper | Unlimited dictation with local Whisper models 7 | $8.49 monthly 19; $84.99 annual 20; $249.99 lifetime 16 | Cloud models on Pro 15 |

Head-to-head pages for several of these apps are on this site: Wispr Flow alternative, Aqua Voice alternative and MacWhisper for Windows.
Put the paid plans on one scale and the differences become concrete. Superwhisper's annual plan works out to $7.08 a month 25. Aqua Voice's annual Pro is $8 a month, and its month-to-month Pro is $10 22 23. Superwhisper's monthly plan is $8.49 19. Wispr Flow's Pro plan is $12 per user per month 18. All of these are list prices from the vendors' own pages on 2026-10-16. The Wispr Flow page does not say whether its price is billed monthly or annually, so compare that one with care.
Dragon NaturallySpeaking is a specialist product, and its Mac history matters if you use a Mac. Nuance said it would stop providing updates for Dragon Professional Individual for Mac after 22 October 2018 24. We did not verify current Dragon prices or editions for this review, so we leave them out rather than guess. See Dragon NaturallySpeaking and its alternatives before you buy. Match the software to the job: writing, professional work, accessibility or hands-free control
Writers: speaking is faster, but the edit is the real job
Speaking is faster than typing for getting words down. In a controlled study on an iPhone, English text entered by speech reached 153 words per minute, against 52 words per minute on the built-in keyboard 26 27. The sentences were short phrases read aloud in a quiet room, so expect less when you compose as you go.
Composed writing is slower. An earlier report on speech software put composition speed at only 8 to 15 words per minute 28. Writers therefore use dictation for first drafts, notes and rough text, and they type or edit the sections that need care.
Skill grows with use. In a longitudinal study, users became more efficient at dictation, navigation and error correction as they gained experience 29. Judge a tool after several sessions, not one. For writers the question is the cleanest first draft with the fewest corrections. The full answer is in best dictation software for writers.
Professional work: check where the audio goes and which terms the tool knows
Professional dictation has two checks that consumer rankings often skip. The first is where the audio is processed. Cloud processing sends audio to a service, while on-device speech recognition keeps it on the machine. The second is whether the tool learns your terms through custom vocabulary, such as client names, drug names or case citations. Both checks belong in your test. For regulated work and specialist tools, see professional dictation software and the voice privacy guide.
Children: test with the child's own voice and read the privacy terms
The Kid-Whisper study sets out to close the performance gap between children and adults in speech recognition. In it, the word error rate of Whisper-Small on the MyST children's test set fell from 13.93% to 9.11% 30. That is a research result on adapted models, not a rating of any app, but it shows why a tool that works for an adult may not work for a child.
Privacy is the second check. The Federal Trade Commission's amended children's privacy rule adds biometric identifiers that can be used to recognize a person to the definition of personal information 31. Whether a particular dictation service falls under the rule depends on the service and its users, and that is a question for a lawyer, not a product page. The dictation app for kids answer covers the practical steps.
Accessibility and hands-free control are a different job
Dictation types what you say. Voice control runs the computer by voice, and it is a separate tool with its own commands. If your main need is controlling the device, read about voice command and the accessibility guide before you choose a dictation app. For a Dragon-specific comparison, see the Dragon page.
Test any dictation app on your own writing before you pay
Run this test on the app you are considering and on the built-in tool. It takes about an hour, and it answers the question no ranking can. The short version of the method is in how to test dictation software.
- Choose three passages of your own writing. Use about 300 words each, from work you actually produce, such as an email, a report section and some notes. Keep the original text as your reference.
- Dictate with the microphone you will really use. For a headset, keep the microphone about an inch from the side of your mouth 3. For a handheld microphone, Nuance's guidance is 1 to 3 inches from the mouth 32. Use the same placement for every app so the comparison is fair.
- Score the errors. Count the substitutions, deletions and insertions against your reference, then divide by the number of words in the reference. That is the word error rate. Record one score per passage per app.
- Time the corrections. Note how long each passage takes to fix. With a large-vocabulary recognizer, correcting errors dominates the task time 33, so a tool with a fast first pass and a slow fix is not faster for you.
- Test the fields you actually use. Dictate into your mail app, your document editor and your notes app, because Apple says dictating in a search box is not part of its general text Dictation 10. Another app may behave differently in each field.
- Test offline. Turn Wi-Fi off and dictate again. Windows voice typing needs the internet 12, so it will fail this step. An app that says it works locally should still work, and if it does not, you have learned what its claim means.
- Compare the price with your volume. Count your words per week. Wispr Flow's free desktop plan allows 2,000 words per week 17, and Aqua Voice's free plan includes 1,000 words 21. If you are above a free limit, use the paid list price in the table above to work out the cost.
- Decide. Keep the built-in tool if its errors and correction time are acceptable. Pay for the app that clearly reduces both on your passages, and read its privacy terms before you pay. Our how to choose a dictation app article has a checklist you can use alongside the test.
Record the results in one table, so the apps compare side by side on the same passages:
| Passage | App | Word error rate | Minutes to correct |
|---|---|---|---|
| 1 | Built-in tool | ||
| 1 | Paid app | ||
| 2 | Built-in tool | ||
| 2 | Paid app |
Some terms are not in this guide because we could not verify them on 2026-10-16: Dragon's current prices and editions, MacWhisper's prices, the renewal terms of Aqua Voice's free allowance, and whether Wispr Flow bills its Pro plan monthly or annually. Check those on each vendor's page before you buy, and treat the prices above as list prices from those pages on that date.
For the terms used in this guide, read the dictation software entry, and for the basics, start with the what is dictation software guide. The full overview is dictation software. Questions about this
- How do you test dictation software before buying?Test each app on your own writing, with the microphone you will really use. Score the word error rate and the time to correct each passage, then repeat the test with Wi-Fi off and in every field you use. Keep the built-in tool unless a paid app clearly reduces both errors and correction time.
- Is there a dictation app that works with CarPlay? Not as a general dictation app. In CarPlay, dictated messages go through Siri, and a third-party app offers voice messaging by building on Apple's Siri messaging rules. In the car, use Siri to dictate and hear messages, and write long text on a Mac, PC or phone.
- What is the best dictation app for kids?We found no independent test that ranks dictation apps for children. Start with the dictation built into a device an adult manages, test it with the child's own voice, and read the privacy terms before a child under 13 uses any app that records speech. Recognition accuracy depends on the speaker, so an adult should proofread what the child dictates.
- What is the best dictation software for writers? For most writers the best dictation software is the tool already built into your computer or phone, because it costs nothing and, on a Mac, accepts text of any length. Pay for an app only when you need dictation in every program, a bigger free allowance or offline processing you can check. Dictate first drafts, and keep the keyboard for the edit.
- What is the best voice to text app for elderly people? For most older people, the best voice to text app is the dictation already on their phone or computer, such as Apple's Dictation on iPhone or Google's Gboard on Android. Pay for an app only if a test with the person's own voice shows the built-in tool failing. We found no independent ranking of dictation apps for older adults, so the test is the decision.
- What is the most accurate dictation software? No dictation software has been shown to be the most accurate for everyone. Strong recognizers make few errors on clean, read speech, but error rates rise sharply with a distant microphone, background noise and some speakers, and the independent comparisons we found do not rank consumer apps. Test the candidates on your own voice, microphone and writing, then compare their error rates.
