Why is Dictate greyed out in Word on a Mac?

Dictate is greyed out in Word for Mac for one of three reasons that Microsoft's article gives: the document is read-only, the account is not an active Microsoft 365 subscription, or Word cannot use the microphone. Start with a new blank document. That one test separates a problem with the file from a problem with your account or your Mac.

Test a new blank document first

Open a new blank document and go to Home > Dictate. If the button works there, the problem is the file you were editing, so go to the read-only check below. A read-only document greys out Dictate

Microsoft's troubleshooting says that if the dictate button is grayed out, you should make sure the document is not in a read-only state ¹. To dictate into a read-only file, save a copy you can edit, or ask the person who shared the file to give you edit access. Then try Home > Dictate in the copy.

Your account needs an active Microsoft 365 subscription

Dictate is limited to subscribers ². Microsoft's troubleshooting says that if you cannot see the button, you should make sure you are signed in with an active Microsoft 365 subscription ³. If Word is signed in with an account that has no subscription, the button will not work for that account, even if another account on your Mac does have one. Check which account Word is using before you change anything else.

A one-time Word purchase may not include Dictate

Microsoft's Applies To list names Word 2021 for Mac and Word 2024 for Mac ⁴. Listing a version does not mean every purchase of that version includes Dictate. The subscription rule is the test to apply. If your Word is a one-time purchase and the account has no Microsoft 365 subscription, Dictate will not be available in that copy.

Word needs microphone access in macOS

If Dictate is active but hears nothing, Microsoft's article says to make sure no other application or webpage is using the microphone, then try again ⁵. On a Mac, each app's microphone access is a separate choice, and Apple says you can decide which apps are allowed to use the microphone ⁶. Allow Word, then close other apps that use the microphone, such as a video call, and try again.

The order to check

1. Test Home > Dictate in a new blank document.
2. If the blank document works, make a copy of the file and dictate into the copy.
3. If the blank document is also greyed out, confirm that Word is signed in with an active Microsoft 365 subscription.
4. If the button is active but Word hears nothing, check macOS microphone access for Word and close other apps that use the microphone.
