Question · Dictation software
What is the best dictation software for writers?
For most writers the best dictation software is the tool already built into your computer or phone, because it costs nothing and, on a Mac, accepts text of any length. Pay for an app only when you need dictation in every program, a bigger free allowance or offline processing you can check. Dictate first drafts, and keep the keyboard for the edit.

Start with the dictation built into your computer or phone. It costs nothing, and for a long draft it is often enough. A paid app earns its price when the built-in tool cannot do one job you need, such as typing in every program or processing offline with a check you can verify. Writers get the most from dictation for first drafts, and most of the careful work still happens on the keyboard. The full comparison of apps is in the best dictation software guide, and the dictation software overview covers the basics.
Start with the built-in tool, which has no length limit on a Mac
On a Mac, Dictation accepts text of any length without a timeout. You stop it with the Escape key, the Microphone key or the Dictation shortcut 1. For a chapter or a long essay, that matters more than any feature list. If you write on Windows, test the built-in voice typing with the internet off before you rely on it for long drafts, using the steps in how to test dictation software.
Paid apps earn their cost when the free allowance runs out
The usual reason to pay is a word limit. Wispr Flow's free plan allows 2,000 dictated words per week on desktop 2. A writer who dictates every day can use up that weekly allowance within a few days. Writers who draft every day should count their words first, then compare the list prices in the guide's table.
Other reasons to pay are typing in every program, offline processing you can check, and AI cleanup of rough text. Each one has a trade-off. Cloud processing and AI cleanup send your text to a service, so read the privacy terms before you dictate a manuscript. The free dictation software guide covers the free options in more detail.
Speech is fast for drafts, but composing by voice is slow
In a controlled study on an iPhone, English text entered by speech reached 153 words per minute, against 52 words per minute on the built-in keyboard 3. The sentences were short phrases read aloud, so a writer who thinks as they speak will be slower. An earlier report on composing with speech software put the rate at 8 to 15 words per minute 4. The authors called that much lower than normal speaking speed, which they put at 125 to 150 words per minute 5.
The practical rule follows from those numbers. Draft by speaking a passage you have already thought through, and do the composing in small pieces that you can revise. Speaking a rough draft is fast. Working out a sentence by voice, while you go, is slow.
Skill with navigation commands matters more than the app
Dictation gets faster with use. As users gained experience in a longitudinal study, they became more efficient at dictation, navigation and error correction 6. The major productivity gains came from better dictation quality and from using navigation commands 7. Judge the tool after several sessions of real drafting, not after one trial. The question on practicing dictation covers how to build that experience.
Punctuation and paragraphs need a check after every session
Apple says that Dictation on a Mac also adds certain punctuation automatically as you dictate 8. That covers the common marks, but you still need to check the rest. The question on punctuation explains which marks need a spoken command, and the question on paragraphs shows how to start a new one. Names are the other common error, so use the spelling of names steps before you send a manuscript.
What to do: draft by voice, measure, then decide
- Draft one section by speaking with the built-in tool on the device you write on most.
- Log your time for the draft and for the correction pass, following the timed method in how to test dictation software.
- Proofread for punctuation and names before you call the section finished, using the proofreading guide.
- Pay for an app only if it fixes a measured problem, such as a word limit, a missing feature or offline use you need.
- Edit on the keyboard. Dictation is fastest for the first version, and typing is usually more precise for the second. The question on editing while you dictate covers when to switch.
The short answer for most writers is the built-in tool, with a paid app added only where your own log shows a gap. The dictation glossary entry defines the terms if any are unfamiliar.
