Question · Transcription
Can you transcribe a meeting without a bot joining?
Yes. You can transcribe a meeting without a bot joining it, using the meeting platform's own transcript, an app that records the audio on your computer, or a microphone in the room. Each needs a setup step before the meeting starts, and each still needs everyone's consent.

Yes. You can transcribe a meeting without a bot joining it in three ways: use the meeting platform's own transcript, run an app that records the audio your computer plays, or record the room with a microphone. None of these adds a visible participant to the call. Each has a setup step that must happen before the meeting starts, and each still needs everyone's agreement.
The platform's own transcript adds no participant, but the organizer must allow it
Microsoft Teams transcription runs inside the service, so no bot joins the call. It is still a setting, and it is off unless someone turns it on: "For meetings and events to include transcripts, the organizer must have this setting turned on." 1 The person who starts a transcript needs the same setting.
Google Meet works differently. Transcription is on by default, but it does not begin until someone in the meeting starts it 2. A meeting can run for an hour with no transcript if nobody starts one, so give that job to a named person.
A platform transcript only covers the meetings on that platform. If people join from another service or by phone, the transcript will miss them. Our guide to Zoom, Teams and Google Meet transcription covers the platform settings.
A desktop app or browser extension can record the audio on your computer
A botless tool records the sound your computer plays, so no extra participant appears. Google's developer guide shows how a Chrome extension can do this: "Starting in Chrome 116, you can call the browser.tabCapture API in a service worker to obtain a stream ID following user gesture." 3 In practice, the extension starts when you click its button and then records the tab in the background. That guide is written for developers, so it shows what Chrome allows, not how any particular product works.
Desktop apps differ by operating system, so check each app's platform list before you choose one. Check two more things. First, which audio it can hear: a botless app listens to one device, so audio from a second laptop or a phone in the room will be missed. Second, whether it supports each service you use.
A room recorder covers an in-person meeting, and distance decides the quality
When nobody is on a call, the botless option is a microphone in the room. The distance between each speaker and the microphone changes accuracy a great deal. On the AMI meeting corpus, Whisper Large V2 had a word error rate of 16.9 percent with a headset microphone for each speaker 4. With a single distant microphone, the same model reached 36.4 percent 5, which is about 2.15 times the headset error rate 6. Our question on how to transcribe an in-person meeting covers the setup step by step.
It depends on where the meeting happens and who must agree
Use the platform transcript for a meeting on one service, with the setting on. Use a desktop app for a meeting that runs on a device you control and a service the app supports. Use a room recorder for an in-person meeting, or for a call on a service with no transcript option.
Consent comes before any of these. California Penal Code 632 punishes recording a confidential communication without the consent of all parties 7. If anyone in the meeting is in California, get everyone's agreement, and the all-party consent and one-party consent entries explain the other rule. Our guide to recording consent laws covers other states.
What to do
- List the services, devices and rooms your meeting uses.
- For a platform transcript, check that the organizer's setting is on, and name the person who will start it.
- For a botless app, confirm that it runs on your device and supports the service.
- Tell everyone the meeting is being transcribed, and ask for objections before you begin.
- Record a short test and listen for dropouts and muffled speech.
- After the meeting, check the transcript against the audio at each decision. Transcripts can contain invented text: in a 2024 study, roughly 1 percent of Whisper audio transcriptions contained hallucinated phrases or sentences that were not in the audio 8.
