Question · Dictation on Windows
Why is dictation not working on my laptop?
On a Windows laptop, dictation can fail because the wrong input is selected, microphone access is blocked for the app, or the tool needs an internet connection that is not working. Check the input device and the microphone permissions first, then the internet and the online speech setting. Dictation on Windows 10 and Voice access work differently, so confirm which tool you are using before you change anything.

Dictation can fail on a Windows laptop for three reasons this page covers: the laptop is listening to the wrong microphone, the app is not allowed to use the microphone, or the tool needs an internet connection that is not working. Check them in that order. Then confirm which dictation tool you are using, since voice typing and Voice access have different requirements, and Voice access is not available on Windows 10.
Check the input device, because a laptop can have several
A laptop can list more than one input, such as a built-in microphone, a webcam microphone, and a Bluetooth headset. Dictation listens to whichever one is selected. Microsoft's voice typing steps start by asking you to select the microphone you want in Settings, under System, Sound, Input 1. Say a few words in a text box and watch whether they appear. If nothing appears, the wrong input or a low input level is the likely cause, so raise the microphone's input level in the same Sound settings.
Check microphone access for the app and for desktop apps
If the input is right but dictation still refuses to start, the app may not have permission. In Windows 11, apps can use the microphone only when Microphone access is turned on under Privacy & security, App permissions, Microphone 2.
Desktop apps have their own switch. Microsoft says that desktop apps have their own setting, Let desktop apps access your microphone, which must be turned on 3. If you are dictating into a desktop program, check that switch.
If the microphone was working and stopped being detected after a Windows 11 update, Microsoft says you may need to give your apps permission to use it 4. Check that permission before you assume the microphone has failed.
A built-in microphone can be fine, or can be the reason it fails
A built-in laptop microphone works for short dictation in a quiet room. It picks up more of the room as the distance and the background noise grow, so a headset can give better results. Microsoft suggests a headset or an external microphone when the words that appear are wrong and you are using the built-in microphone 5. For the detail on quiet rooms and distance, read whether a laptop microphone is good enough for dictation.
Some laptops also have a physical microphone mute key or switch. Check the laptop's manual for one, because a hardware mute can silence the microphone whatever the Windows settings say.
Check the internet and the online speech setting for voice typing
Voice typing needs online speech recognition 6, and you turn that on or off under Settings > Privacy & security > Speech 7. Voice typing also needs an internet connection and a working microphone 8. If your laptop is offline, or on a network that blocks the connection, dictation can fail even when the microphone is perfect.
Confirm which tool you are using, because the requirements differ
The tool name decides what must be true. Microsoft's Voice access FAQ compares the two features in a table, and that table lists Windows 11 for Voice access, and Windows 11 and Windows 10 for voice typing 9. So a Windows 10 laptop has voice typing, which Windows 10 calls dictation, and not Voice access.
On Windows 10, dictation needs the PC to be connected to the internet 10. The guide to dictation on Windows 10 shows how to start it.
It depends on the laptop, the app and the network
- A home laptop on Wi-Fi with a microphone that works elsewhere. Work through the input device and the app permission first, because those are the two checks above that the network does not cover.
- A work or school laptop may have the microphone, the Store or the speech settings managed by IT. Ask IT before you change a setting you cannot see.
- Dictation into one app but not another is an app problem, not a laptop problem. Test in Notepad, which is a plain text box, before you blame the laptop.
- Voice access shows a conflict with Windows key + H. That is a separate cause, covered in why Windows key + H is not working. Turn off Voice access and try again.
What to do, in order
- Select the right microphone under Settings > System > Sound > Input, then say a sentence and watch the text box.
- Turn on Microphone access under Privacy & security > Microphone, and turn on Let desktop apps access your microphone if you dictate into a desktop program.
- Connect the laptop to the internet, then turn on online speech recognition under Privacy & security > Speech.
- Restart the laptop, install Windows updates, and test again in Notepad.
- If it still fails, check the language, and then follow the full checks in the guide to Windows dictation not working.
If the problem is only the touch keyboard's microphone button, see why the touch keyboard is not working in Windows 11. For the general causes on every device, read the guide to dictation not working.
