Question · Dictation in your apps
Why is Dictate not working in PowerPoint?
The button can be missing because your Microsoft 365 subscription or Windows version does not qualify, or greyed out because the file is read-only. Dictate can also report no microphone access when another app is using the microphone, and it needs a reliable internet connection.

When Dictate in PowerPoint does not work, the cause is usually one of four things: the button is missing, the button is greyed out, Dictate cannot get the microphone, or the speech is not being recognized well because the connection or the room is poor. Microsoft gives a specific check for each one. Work through them in the order below, because the first two decide whether the button appears at all.
First check: the subscription and the version
If you cannot find the Dictate button, the account or the software is the first thing to check. Microsoft says Dictate is not available in Office 2016 or 2019 without a Microsoft 365 subscription 1.
Microsoft's troubleshooting for Dictate in Office gives the same requirement in its own words: "Please verify you're signed in with an active subscription. Only versions of Windows 10 and above support usage of this feature." 2 The feature is not available on older versions of Windows, so on those machines the fix is an upgrade.
Microsoft's checks for a button that cannot be found also start with the browser, if you use the web version: confirm you are on the new Edge, Firefox or Chrome 3. Then confirm you are signed in with your Microsoft account 4.
Second check: the document must not be read-only
If the button is there but greyed out, Microsoft's instruction is short: make sure the document is not in a read-only state 5. A presentation opened from a locked location, or opened as read-only by someone else, may show the button greyed out. Save a copy to a folder you can edit, then open that copy and try again.
Third check: the microphone and other apps
If Dictate reports that it has no access to the microphone, Microsoft says to make sure no other application or web page is using it, then try again 6. A video call, a recording app or another browser tab can hold the microphone. Close those, then reopen the presentation.
Microsoft also says Dictation in Office needs a microphone and a reliable internet connection 7. If the microphone is working but nothing appears, check that connection before you change any setting.
Fourth check: accuracy, not a broken button
Sometimes Dictate works but the words are wrong or missing. Microsoft's accuracy advice is to avoid or eliminate background noise that may interfere with your voice 8. If you dictate in a language that Microsoft lists as a preview language, expect less accuracy 9, and check the language setting before you dictate a long document.
On a Mac, the button may not be there
Microsoft's main Dictate article lists Word for Microsoft 365 for Mac and PowerPoint for Microsoft 365 for Mac as apps it applies to 10. But the PowerPoint article we read gives Dictate steps for the web and for Windows only, and we found no Mac steps there. Before you plan a deck around the button, open Home and look for it. If it is not there, use the Mac's own Dictation instead, as described in our guide to dictating into any app.
A checklist to run in this order
- Confirm the Microsoft 365 subscription and, on Windows, Windows 10 or later.
- On the web, confirm the browser is the new Edge, Firefox or Chrome.
- Confirm the document is not read-only, and save a copy somewhere you can edit.
- Close other apps and browser tabs that may use the microphone, then check the microphone.
- Confirm the internet connection, then test with a short sentence in a quiet room.
If the button is still missing after these steps, the cause is probably the software version or the license, and Microsoft's support route is the next step.
