Question · Dictation in your apps
Can you dictate in Excel?
Yes, but not through a button Microsoft documents for Excel. Select the cell, press F2 so it is in edit mode, then start Windows voice typing with Windows key + H or Dictation on a Mac. Test it on one cell before you enter real data.

Yes, you can speak text into an Excel cell, but you do it with your operating system's dictation, not with a Dictate button that Microsoft documents for Excel. Put the cell into edit mode first by pressing F2. Then start voice typing on Windows or Dictation on a Mac. Microsoft's pages disagree about whether Excel has a Dictate button at all, so check your own copy before you rely on it.
Excel has no documented Dictate button
Microsoft's Dictate in Microsoft 365 article lists Word, Outlook and PowerPoint under Applies To, and it does not list Excel 1. The same article says its steps apply to the desktop versions of Word, Excel, Outlook and PowerPoint in Microsoft 365, or in supported perpetual versions 2.
These two statements disagree. A Dictate button may appear in desktop Excel even though no Excel page describes it, and it may not appear at all. We did not find a Microsoft page that describes Dictate for Excel on the web, so do not assume it is there.
The working route is F2, then system dictation
The step that most people miss is putting the cell into edit mode. If you only select the cell and start dictating, the words may not land where you expect. Microsoft's Excel shortcut table says F2 edits the active cell and puts the insertion point at the end of its contents 3.
- Select the cell where the text should go.
- Press F2, and check that the cursor is blinking inside the cell.
- On Windows, press Windows key + H to start voice typing 4. Microsoft says voice typing needs a working microphone, an internet connection and the cursor in a text box 5.
- On a Mac, Apple says to place the insertion point where you want to enter text 6, then start Dictation. On a Mac, F2 may not work on its own, so you may need to hold fn with F2, unless you have turned on Use F1, F2, etc. keys as standard function keys in Keyboard settings 7. Apple's pages do not mention Excel, so test it on one cell first.
- Say a short phrase, then check the cell and the formula bar.
For the wider choice between system-wide tools and the built-in buttons, see our guide to dictating into any app. For the glossary entries behind these terms, see voice typing and Windows key + H.
Check every number before you move to the next cell
Spreadsheets depend on exact values, and a misheard digit in a column is easy to miss. Read each number back in the formula bar before you move to the next cell. Use this routine on a blank workbook before you start:
- Select cell A1 and press F2.
- Start voice typing or Dictation, then say "test one".
- Say a number such as "forty two", then check the cell and the formula bar.
- Delete the test text before you use the sheet for real data.
If the words land in the formula bar, or the cursor is not in the cell at all, edit mode was not on. Press F2 again and repeat the test.
Dictation types text, but it does not control the sheet
Speaking into a cell is different from controlling Excel by voice. Dictation types what you say. We found no Microsoft or Apple page that describes moving between cells, choosing menus or editing a formula with dictation. Those jobs belong to voice control tools. On Windows, Voice Access lets you control your PC and write text by voice without an internet connection 8. We did not find a list of Excel-specific voice commands in either company's documentation, so if you rely on one, test it on a copy of your workbook first.
It depends: when the route works and when it does not
- Desktop Excel with a Dictate button. If your copy of Microsoft 365 shows the button, use it for short entries, after the same test. The Microsoft article says its steps apply to desktop Excel 2, so this is the case most likely to work.
- Windows voice typing needs a connection. Microsoft says voice typing needs an internet connection 5, so check that you have one before you rely on the route.
- Long text. Dictating a paragraph into a cell is awkward. Draft the text in Word, which has its own Dictate article, then paste the finished text into the cell. See our guide to Dictate in Word.
- PowerPoint and OneNote. Those apps have a Dictate button that Microsoft documents. Their steps and limits are different, so see why Dictate is not working in PowerPoint and whether OneNote can transcribe audio.
What to do now
Open a blank workbook, check whether Dictate appears on the Home tab, and run the test above on one cell. If the button is there, use it for short entries. If it is not, use F2 with Windows key + H or Dictation, and read each value back in the formula bar before you go on. For the same question in Word, see where the Dictate button is in Word.
