Question · Dictation in your apps
Why is dictation not working in Excel?
Dictation in Excel most likely fails when the cell is not in edit mode, so nothing is ready to receive the words, or when the microphone or internet connection is not working. Microsoft's Applies To list for Dictate does not include Excel, so select the cell, press F2, then start Windows voice typing or Mac Dictation and test with one short phrase.

Dictation in Excel can fail for two likely reasons. Either the cell is not in edit mode, so the speech has nowhere to go, or the microphone or internet connection is not working. Microsoft's main Dictate article does not list Excel under Applies To 1, so you cannot rely on a Dictate button in Excel without seeing it on your own Home tab. The working route is your operating system's dictation, started after you press F2.
Excel has no documented Dictate button, so check yours first
Microsoft's Dictate article lists Word, Outlook and PowerPoint under Applies To 1. Its note, though, says the steps apply to the desktop versions of Word, Excel, Outlook and PowerPoint 2. The two statements disagree. We did not find a Dictate article for Excel, and our search found no Microsoft page that says voice typing or Dictation writes into a cell.
So open a workbook in Excel for Microsoft 365, sign in, and look at the Home tab. If you see a Dictate button, test it on one cell. If you do not, use system dictation, which works in any text field that has focus.
The cell must be in edit mode before anything is typed
Microsoft's Excel keyboard shortcut table lists F2 as the key that edits the active cell, with the insertion point at the end of its contents 3. This is the step most people skip. Work through it in order:
- Select the cell where the text should go.
- Press F2, and check that the cursor is inside the cell.
- Start dictation, then speak.
If the words land in the formula bar instead of the cell, the cell was not in edit mode. Press F2 again and repeat. Microsoft's Excel shortcut article applies to Excel for Microsoft 365 for Mac as well 4. For the Mac key, see the section below.
On Windows, voice typing needs a text box
On Windows 11, press the Windows key + H on a hardware keyboard to turn on voice typing 5. Microsoft says voice typing needs a working microphone, an internet connection and the cursor in a text box 6.
A cell that is not in edit mode gives voice typing no text box to type into. That is our reading of Microsoft's requirement, not an example Microsoft gives for Excel. It is the reason the F2 step comes first. For the term, see voice typing.
On a Mac, place the insertion point first
Apple says to place the insertion point where you want to enter text 7, and then start Dictation. On a Mac, F2 may not work on its own, so you may need to hold fn with F2, unless you have turned on Use F1, F2, etc. keys as standard function keys in Keyboard settings 8. Apple's Dictation guide for Mac gives the full steps for starting Dictation. The insertion point is the cell in edit mode, so the F2 step applies on a Mac as well.
Nothing appears after you speak: check the microphone
If nothing appears in the text box after you speak, Microsoft says to adjust the input level of your microphone 9. Microsoft's troubleshooting also says to make sure the microphone you want to use is selected in Settings, under System, Sound, Input 10. If you use the built-in microphone, Microsoft suggests trying a headset or external microphone 11.
Because voice typing needs an internet connection 6, check the connection too if nothing appears. Microsoft's voice typing troubleshooting page lists the other checks.
Voice commands for Excel come from accessibility tools
The commands Microsoft documents for Dictate and voice typing are mostly for text, such as punctuation, deleting and pausing. We did not find a command in them that moves between cells, opens menus or edits formulas. We did not find a list of Excel-specific voice commands in Microsoft's or Apple's documentation, so do not plan a workflow around one until you have tested it.
For controlling a spreadsheet by voice, the tools are different. On Windows, Voice Access lets you control your PC and write text by voice, and Microsoft says it works without an internet connection 12. On a Mac, Apple's Voice Control guide says that once Voice Control is on, you can speak commands to navigate the desktop and apps, and to dictate and edit text 13. See Windows Voice Access and Voice Control for the terms.
Test your copy in five minutes
- Open a blank workbook and select cell A1.
- Press F2, and check that the cursor sits inside the cell.
- Start voice typing on Windows, or Dictation on a Mac, then say a short phrase such as "test one".
- Say a number, then check the cell and the formula bar to see what was entered.
- Delete the test text before you use the sheet for real data.
If the words land in the cell, the route works in your copy. If they land in the formula bar, edit mode was off, so repeat the test from step 2.
What to do when the test fails
- The words go to the formula bar. Press F2 before you start dictation, then test again.
- Nothing appears at all. Check the microphone input level, then the internet connection.
- You see a Dictate button but it does nothing. Test it on one cell with one phrase. Microsoft says Dictation in Office needs a microphone and a reliable internet connection 14.
- Long text is the goal. Draft it in Word, which has its own Dictate guide, then paste the finished text into the cell.
