Question · Dictation in your apps
Why is Dictate greyed out in Word?
Microsoft's troubleshooting names one cause for a greyed-out Dictate button: the document is in a read-only state. If the button is missing altogether, the check is your Microsoft 365 sign-in. Connected experiences is a setting to test next, but Microsoft does not say that turning it off greys the button.

Microsoft's troubleshooting gives one check for a greyed-out Dictate button. Make sure the document is not in a read-only state 1. Start there, because it is the only cause Microsoft names for that greyed-out state. The other causes we cover below come from different Microsoft pages, and each one applies to a different symptom.
A read-only document is the cause Microsoft names
A read-only document opens for reading, but Word will not let you change it. Microsoft's text does not explain how to tell, so the steps below are our suggestion, not Microsoft's.
Open a new blank document in Word and look at the Home tab. If Dictate is active there, the problem is with the file, not with your account. Then check whether the file opened as a view-only copy, for example an attachment or a shared link that gives you read access. Save an editable copy under a new name and try Dictate in that copy.
If the button is greyed out in the blank document too, the file is not the cause, and you should move to the account check.
A missing button is a different problem
A greyed-out button is visible but unavailable. A missing button is not on the ribbon at all. Microsoft's check for a missing button is the sign-in: make sure you are signed in with an active Microsoft 365 subscription 2.
The one-time Office 2016 or 2019 for Windows is a separate case. Dictate is not available in it without a Microsoft 365 subscription 3, so the button will not appear there, and it will not be greyed out either.
Connected experiences is the setting to test next
Microsoft's article on connected experiences names Dictate as one of the experiences that analyze your content 4. The same article says you can switch those experiences off from any Microsoft 365 app, through File > Account > Manage Settings 5.
We did not find a Microsoft page that says turning this category off greys out Dictate. A third-party guide makes that claim, but we could not confirm it on Microsoft's pages, so treat it as a possibility, not a known cause. If you test it, switch the setting back on afterwards. If the account belongs to a work or school organization, ask your IT team before you change anything, because the setting may be managed for you.
The order that isolates the cause
- Open a new blank document and check whether Dictate is active there.
- If it is active in the blank document, the problem is the file. Check whether it opened as read-only, and save an editable copy.
- If the button is missing rather than greyed out, confirm the active Microsoft 365 sign-in, as above.
- If the button is still greyed out in the blank document, test the connected experiences setting, then switch it back on if it made no difference.
- If the button turns on but dictated text does not appear, the fault is the microphone or the connection, and the steps are in why Dictate is not working in Word.
What to do if Dictate stays unavailable
Dictate depends on your account, your file and a Microsoft setting, so one fix may not solve every case. If Word's Dictate stays unavailable on your setup, Yap, which we make, is an on-device dictation app for Mac and Windows. The download page lists the current versions. Windows also has its own voice typing, which needs a connection as well 6, so a network problem will not be solved by switching tools.
For the Mac version of this problem, see why Dictate is greyed out in Word on a Mac. For the basics of where the button sits and which platforms have it, see where the Dictate button is in Word. The full guide, with the settings and each platform's steps, is Dictate in Word, and the dictation overview for your apps covers the other options.
