Question · Dictation in your apps
Why is Dictate not working in Outlook?
Microsoft's help documents these causes. The Dictate button is missing when the account has no Microsoft 365 subscription, and no text appears when the microphone is muted, unplugged or in use by another app. A weak internet connection causes missed words, and Microsoft announced in 2024 that it would retire Dictation from the Outlook app on iPhone and Android.

Dictate in Outlook can stop for one of four checkable reasons. The button may be missing because the account has no Microsoft 365 subscription. The microphone may be muted, unplugged or in use by another app. The connection may be too weak for accurate text. Or you may be looking for Dictate in the Outlook phone app, where Microsoft has announced it will retire the feature. Check them in that order, because the first one decides whether the button appears at all.
Dictate is missing when the account has no Microsoft 365 subscription
Microsoft's article answers this directly: "Can't find the Dictate button? The dictation feature is only available to Microsoft 365 subscribers" 1. Dictate is therefore a check on the account, not on the app.
Confirm that the account you are signed in with has an active Microsoft 365 subscription. If you use a work account, your administrator can confirm this for you.
When the button turns on but nothing appears, check the microphone first
When you press Dictate and the button turns on, but no text appears, the microphone is the first thing to check. Microsoft's guidance for this case starts with making sure the microphone is not muted 2.
The error messages in Outlook point to two specific faults, and each has its own first step:
| Message you see | Microsoft's first check | Source |
|---|---|---|
| "Another app is using your mic" | Make sure no other application or web page is using the microphone, then try again 3 | Microsoft |
| "Mic issue", "Can't detect mic" or "Can't access mic" | Make sure the microphone is plugged in, then test it 4 | Microsoft |
For the "another app" case, close any call or browser tab that may hold the microphone, and then press Dictate again.
Weak internet and preview languages cause wrong words, not a missing button
When Outlook dictation misses words or gets many of them wrong, Microsoft says to make sure you are on a fast and reliable internet connection 5. Check the connection before you blame the microphone for wrong words.
Language matters too. Microsoft says languages marked Preview might have lower accuracy or limited punctuation support 6. If the words are wrong in one language, try a language on the main list. Treat a preview language as a draft that needs a closer read.
Dictate may not be in the Outlook app on your phone
On iPhone and Android, Microsoft announced that it would retire the Dictation feature from the Outlook app, starting in early September 2024 7. If you are looking for Dictate on a phone, use the keyboard's microphone instead. The guide on dictating emails in Outlook and Gmail sets out the phone steps.
The button must be used from the message body
Microsoft's steps begin by starting a new email or replying, then selecting the body of the message, then going to the Message tab and selecting Dictate 8. Click into the body, not the subject line, before you press Dictate.
What to do, in order
- Confirm the account has a Microsoft 365 subscription, or ask your administrator if it is a work account.
- Click into the body of the message, then select Dictate on the Message tab.
- If nothing appears, check that the microphone is not muted, plugged in and selected, and that no other app is using it.
- If the words are wrong or missing, move to a faster connection and a quieter room.
- If the language is marked as preview, read the output closely or switch to a language on the main list.
If dictation fails in every app on your computer, test the microphone in a plain text app before you look at Outlook. Our guide to dictation not working on any device covers the general checks, and the Mac dictation troubleshooting page walks through the Mac-specific ones.
