Question · Dictation in your apps
Why is dictation not working in the new Outlook?
The causes Microsoft documents for Dictate in new Outlook are the account, the microphone and the connection. The Dictate button exists only for Microsoft 365 subscribers, so a missing button points to the account. If nothing appears as you speak, check that the microphone is plugged in, unmuted and not used by another app, and that you are on a reliable internet connection.

When dictation stops working in new Outlook, Microsoft's help points to four things on your side: the account, the cursor position, the microphone and the connection. We found no Microsoft report of a fault that hides the Dictate button in new Outlook. Work through the checks below in order, because the account decides whether the button appears at all.
A missing Dictate button points to the Microsoft 365 subscription
Microsoft's help says that if you cannot find the Dictate button, the dictation feature is only available to Microsoft 365 subscribers 1. Sign in with the Microsoft account that holds the subscription, then open a new email again. An account without a subscription will not show the button.
Dictate starts only from the message body
Microsoft's steps begin with a new email or reply, then the body of the message, then the Message tab and Dictate 2. If you press Dictate with the cursor in the subject or address field, you have skipped the step Microsoft describes. Click into the body first, then try again.
Microsoft's connected experiences setting names Dictate, but not a grey button
Microsoft's article on connected experiences names Dictate as one of the experiences that analyze your content 3. Microsoft says you can turn these connected experiences off from any Microsoft 365 app, through File, then Account, then Manage Settings 4.
Microsoft's pages do not say that the Dictate button turns grey when this setting is off, so we could not confirm the greyed-out case from Microsoft. If you have changed this setting, turn it back on and check the Message tab again. Turning the master setting off also switches off other services, such as document co-authoring and online file storage 5, so do not leave it off just to test dictation.
If Outlook says the microphone is in use, close the other app
Microsoft gives a message-by-message fix. If you see "Another app is using your mic", make sure no other application or web page is using the microphone, then try again 6. A video call, a browser tab with a meeting open, or another dictation tool can hold the microphone.
If you see "Mic issue", "Can't detect mic" or "Can't access mic", make sure the microphone is plugged in, then test it 7. If nothing appears as you dictate, make sure the microphone is not muted, adjust its input level and move somewhere quieter 8.
Missed or wrong words point to the connection
Microsoft says that when many words are missed or wrong, you should be on a fast and reliable internet connection 9. Microsoft lists missed and wrong words as a separate problem from the case where nothing appears. Move closer to the router, or switch to a wired connection, then dictate a short test sentence.
Phones and Gmail have their own routes
Microsoft announced in 2024 that it would retire Dictation from the Outlook app on iPhone and Android 10, so use the keyboard's microphone there. The question on how to dictate an email in Outlook gives the phone steps. Gmail on a computer has no dictation button, so a problem in Gmail is a different question. See the question on why dictation is not working in Gmail.
What to do when every check passes
If the account, the body, the microphone and the connection all check out, and the button is still missing or silent, the remaining causes are outside what Microsoft's help describes. If the account is a work or school account, ask your IT administrator to check which features are switched on for you. Meanwhile, use your computer's own dictation, which types into the message body without the Outlook button. The guide to dictating into any app explains which system tools type into a message window, and the guide to dictating emails in Outlook and Gmail sets out the route for each app.
Word has the same button and the same subscription rule, so the question on why Dictate is greyed out in Word covers the matching checks for documents. For the wider set of tools, read the overview of dictation in your apps.
