Question · Dictation in your apps
Does Word Dictate work offline?
No. Word's Dictate needs a Microsoft 365 subscription, a microphone and a reliable internet connection, because your speech is sent to Microsoft to become text. For offline dictation, Windows 11 Voice Access works without internet after a first-time setup that needs a connection, and Apple's Dictation on a Mac can process text on the device, though that is not Word's own Dictate.

Word's Dictate does not work offline. Microsoft says Dictate in Word needs a Microsoft 365 subscription, a microphone and a reliable internet connection 1. The speech is sent to Microsoft and used only to produce the text 2, so without a connection there is nothing to send it to. If you need to write without a connection, use one of the offline options below, and test it before you rely on it.
Word's Dictate needs a connection every time you use it
Dictate is a cloud service. Microsoft's article describes it as speech-to-text in Microsoft 365, with a microphone and a reliable internet connection 3. A sign-in is required as well. There is no offline mode to switch on, and Microsoft's pages do not describe one.
Microsoft's requirement is written for Dictation in Microsoft 365 in general, so it covers Word on a Mac and Word for the web as well. A network outage should stop Dictate in each of them.
Windows voice typing also needs the internet
The Windows key + H shortcut is not an offline route either. Microsoft says voice typing needs an internet connection, a working microphone and the cursor in a text box 4. Switching to voice typing when your connection drops will not help.
Windows Voice Access can work offline after one online setup
Voice Access is the offline option on Windows. Microsoft says it lets you control your PC and write text by voice without an internet connection 5. It is available on Windows 11, version 22H2 or later 6.
There is one catch. The first-time setup needs an internet connection 7, so complete it while you are online. After that, the test is simple: switch off your network, open Word, and dictate a sentence. Voice Access is a different tool from Word's Dictate and uses its own command set, so check it for the formatting and editing you need.
On a Mac, Apple's Dictation can process text on the device
On a Mac, Apple says voice inputs and transcripts for general text Dictation are processed on your device and not sent to Siri servers 8. That is Apple's own Dictation, not Word's Dictate button, so it does not change Word's requirements.
The on-device support depends on the language, and Apple lists the on-device languages separately from the general list 9. We did not test Apple's Dictation inside Word for this page. Run a short phrase in Word with the Wi-Fi off before you rely on it, and check the language you need on Apple's list.
The only monthly cap Microsoft states is on Transcribe uploads
Searches for a Word Dictate limit often find claims about a per-session word cap or a silence cutoff. We could not confirm those from Microsoft's pages. Microsoft's Dictate article states no time or word cap, and the figure Microsoft does state is for Transcribe 10. A Microsoft Community moderator said in 2023 that there is still a 300-minute monthly limit for uploading dictation files 11. That limit concerns uploaded recordings, not live dictation.
What to do
- For Word's Dictate, keep a stable connection, sign in with your Microsoft 365 account, and dictate a test passage before you start a long one.
- For offline use on Windows 11, complete the Voice Access setup while online. Then test it with the network off.
- For offline use on a Mac, test Apple's Dictation in the app you need, with the Wi-Fi off, before you rely on it.
- Yap, which we make, is an on-device dictation app for Mac and Windows. If you want an offline tool outside Word, compare it with Voice Access and Apple's Dictation on the same passage. The download page lists the current versions.
For the steps and settings of Word's Dictate, see our guide to dictating in Word. The wider picture of dictation in your apps covers the other platforms. If Dictate keeps stopping while you are online, the causes are in why Word dictation keeps stopping. For Transcribe's limits, read the difference between Dictate and Transcribe. The glossary entries for on-device speech recognition and online speech recognition explain the two kinds of processing, and Windows Voice Access defines the Windows tool.
