Question · Dictation on Windows
Why is Word dictation not working on Windows 11?
Word dictation on Windows 11 can fail when the Microsoft 365 subscription is missing, the document is read-only, another app holds the microphone, or Windows blocks apps from the microphone. Check the subscription first, then the document, the microphone and the connection.

Word's Dictate button can fail for a reason you can check in a minute: the license. Microsoft says the dictation feature in the Word desktop app is only available to Microsoft 365 subscribers 1. If the button is there but dictation still stops, the next causes are the document, the microphone and the connection. Work down the list below, and test with a short sentence after each change.
A missing Dictate button can mean the license is the problem
If you cannot see the Dictate button, check that you are signed in with an active Microsoft 365 subscription, not just an account that happens to be on the PC.
Older Office versions can cause the same problem. Microsoft says Dictate is not available in Office 2016 or 2019 for Windows without Microsoft 365 2. So a one-time copy of either version does not get the button without a Microsoft 365 subscription.
Each symptom points to a different cause
The table pairs what you see with the most likely cause and the first thing to check.
| What you see | Likely cause | What to do first |
|---|---|---|
| No Dictate button | No active Microsoft 365 subscription, or Office 2016 or 2019 | Sign in with the account that holds the subscription |
| Dictate button is grayed out | The document is read-only | Make the document editable |
| A message says the microphone is in use | Another app or web page holds the microphone | Close the other app or tab, then try again |
| Dictation does not start or does not type | No reliable internet connection, or Windows blocks apps from the microphone | Check the connection, then the Windows microphone switch |
A read-only document greys out the button
If the Dictate button is grayed out, Microsoft says to make sure the document is not in a read-only state 3. Open the document for editing first, and only then test the microphone.
Microphone access can fail in the app or in Windows
Microsoft's troubleshooting for the microphone message says to make sure no other application or webpage is using the microphone, and then try again 4. A video call, a meeting in a browser tab or a voice recorder can hold the microphone, so close them before you test Word.
The second place to look is Windows itself. On Windows 11, Microsoft says that after Microphone access is on, you must also go to Microphone settings and turn on Let apps access your microphone 5. Check both switches in Windows Settings. Word cannot use a microphone that Windows keeps from apps, so a fix in Word alone will not help.
Internet and language can stop or weaken dictation
Microsoft says Dictate in Word needs a microphone and a reliable internet connection 6. If the connection is weak, test on a stable network before you change any settings.
Language is the other limit. Microsoft's list of supported languages warns that some may have lower accuracy or limited punctuation support 7. If your language is one of them, dictation can run but produce weaker text, which can look like a fault.
The Windows key + H shortcut is a different tool
Windows key + H starts Windows voice typing 8, which is a separate tool from the Dictate button in Word. If Dictate is missing, pressing Windows key + H will not bring it back, and the reverse is also true. Use the tool that the app you are in provides.
What to do, in order
- Confirm that your Microsoft 365 subscription is active, and that you are signed in with the account that holds it.
- Make the document editable, not read-only.
- Close other apps and browser tabs that use the microphone, then try again.
- In Windows Settings, turn on Microphone access and then Let apps access your microphone.
- Check your internet connection.
- If the button is there but the mouse route fails, start dictation from the keyboard by pressing Alt + H, then D 9.
If dictation still fails after these checks, the guide to Windows dictation that is not working covers the wider fixes. For the other apps on Windows, see the guide to dictation in Windows apps, and check whether Windows voice typing works in every app. If the problem is the language rather than the microphone, how to change the dictation language in Word explains where the setting is.
