Question · Dictation for work and study
What is the best voice to text app for email?
There is no single best app. For most people the dictation built into the mail program or the operating system is enough. A dedicated app is worth it when you want one tool across every program, or when you need your audio processed on your own device. Check the platform, the account rules, and where the audio goes before you choose.

There is no single best voice to text app for email. The right one depends on where you write, which computer or phone you use, and whether your email can leave your device. For most people the dictation built into the mail program or the operating system is enough, and it costs nothing extra. A dedicated app earns its place when you want one tool in every program, or when you need the audio processed on your own machine.
The built-in options cover most email, with clear limits
| Option | Where it works | Limit we could verify |
|---|---|---|
| Outlook Dictate | Inside Outlook's message body | Only for Microsoft 365 subscribers 1 |
| Windows voice typing | Any text box | Needs an internet connection 2 |
| Mac Dictation | Anywhere you can type | Apple says general text is processed on your device 3 |
| Google Docs voice typing | Google Docs | Works with the latest versions of Chrome, Edge and Safari 4 |
We could not confirm a voice typing option inside Gmail in this check, so do not assume one exists there. Outlook's option is the most useful if your company already uses Microsoft 365, because it works inside the email itself. Apple says general text dictation on a Mac is processed on your device, and you can check that setting for your language 5. The Windows option needs a connection to work.
Dedicated apps differ most in where the audio goes
Dedicated dictation apps usually work across every program, which is their main advantage. They differ on where your audio and text are processed, which matters more than their feature lists for email that holds client names, figures or personal details.
- Handy, a free, open-source app, says transcription happens on your own computer without sending any information to the cloud 6.
- Superwhisper's free plan lets you dictate with any local Whisper model, and the company says nothing you dictate leaves your device 7.
- Wispr Flow sends dictated audio to its servers over an encrypted connection, so cloud processing is part of its design 8.
- Dragon Professional is a long-established product from Nuance. Nuance says Dragon Professional v16 lets employees dictate documents 3 times faster than typing, with up to 99 percent recognition accuracy 9. That is a vendor claim, so test it on your own email before you rely on it.
Prices, plans and free allowances change often, so check each vendor's current pricing page before you buy. Plans differ on whether they allow cloud models, a word limit or a device count.
How to choose
- Start with the built-in option for the program you write in most. If it does the job, you do not need to pay for another tool.
- Decide where your email may go. If client or employee details are involved, prefer processing on the device, or check your employer's rules before using a cloud service.
- Check the account rules. Outlook's option needs a Microsoft 365 subscription, and some apps need their own account.
- Test the finalists on three real emails. Count the names, numbers and dates you have to fix. The app that needs the fewest fixes is the best one for your email, whatever its marketing says.
- Read the privacy policy if the app keeps a cloud copy of your audio or text, and find out how long it is kept.
Yap, which we make, is an on-device dictation app for Mac and Windows, so it is one of the dedicated choices. It is not the right choice for everyone. If the built-in tool in your mail program is enough, use it. For how to set up dictation for a specific email program, see how to dictate a professional email. For the privacy questions in more detail, see is voice to text safe, and for a broader comparison of dictation apps, see our guide to choosing a dictation app. The download page lists the current platforms.
Whichever app you choose, the workflow is the same: plan the purpose of each email, speak it in order, and check the details on screen. For that method, see the guide to dictating email. For the speed case, see is dictating email faster than typing, and for a choice between dictation and typing in general, see when typing is better than dictation.
