Question · Dictation for work and study
Can you dictate a thesis or dissertation?
Yes. Much of a thesis is prose, and prose is what dictation does best, so you can draft chapters by speaking them. Plan a full editing pass, check whether your tool needs a Microsoft 365 subscription or an internet connection, and confirm with your disability office before you rely on dictation for unsupervised writing.

Yes. You can dictate a thesis or dissertation one chapter at a time, and the prose in a literature review, methods section or discussion is the part that dictation handles best. The work does not end with the speaking. Citations, equations and tables still need the keyboard or specialist tools, and a dictated chapter reads more like speech than writing, so it needs a deliberate editing pass before your committee sees it. Our guide to dictation for academic writing covers the whole workflow.
Speaking drafts a chapter faster, but correction takes most of the time
Speech is much faster than typing for short messages. In a controlled study on an iPhone, English text entered by speech reached 153 words per minute, against 52 words per minute on the built-in keyboard 1 2. That is the best case for speech. The study used short phrases, read in a quiet room, and a thesis is tens of thousands of words written across weeks, often in a noisy office.
Editing is where the saving can disappear. In a study of dictation with a large-vocabulary recognizer, Vertanen reports that correcting errors takes up most of the task time 3. A dictated chapter therefore needs its own editing stage, with time set aside for it, rather than a quick read before you move on.
The evidence that dictation helps academic writing is small and old. In a 2002 dissertation, postsecondary students with learning disabilities in written expression wrote significantly higher quality essays, at a faster rate, using the speech recognition mode than by keyboarding 4. The study had few participants and used a recognizer that is long superseded. It supports the claim that dictation can help composition. It does not show that it will improve every thesis.
The tool you choose decides the subscription and connection you need
Most people who ask this question are deciding which tool to use, and the requirements differ. The table compares the two options the sources we checked describe most clearly.
| Option | What it needs | What to check |
|---|---|---|
| Dictate in Word | A Microsoft 365 subscription, a microphone and a reliable internet connection 5 6 | Whether your institution licenses Microsoft 365 for you |
| Dragon NaturallySpeaking through your university | A licence or account from your institution, often through a library or disability service | Whether your university offers it, and whether you are eligible for a personal account. Our glossary entry on Dragon NaturallySpeaking explains the product |
| Yap, which we make | An on-device dictation app for Mac and Windows. See the download page for current requirements | Whether it covers the document formats and languages you need |
The connection matters for unpublished work too. Microsoft says that when you use Dictate in Word, your speech is sent to Microsoft and used only to provide text results 7. Check where your tool sends audio, and what your data management plan allows, before you dictate unpublished results.
Your accommodation and your university's rules decide whether dictation is allowed
Dictation is sometimes part of an accommodation, and the rules come from your institution. Under Section 504, a college that receives federal money must modify its academic requirements where needed so they do not discriminate against students with disabilities 8. That obligation does not say which tools a thesis must use. Your disability office decides whether a dictation accommodation covers extended, unsupervised writing, and it may approve some tools and not others. Ask before you rely on dictation, and keep the decision in writing. Our glossary entry on reasonable accommodation explains the term.
What to do before you dictate a thesis
- Test the tool on two pages of a real chapter. Count the corrections you make, and time how long the edit takes. That number is the real cost of dictation for your work.
- Dictate one section at a time, from an outline. Speak complete sentences, and mark each citation and equation with a visible placeholder such as [CITE] or [EQ].
- Insert citations and equations afterwards. Our questions on dictating citations and dictating math equations cover those steps.
- Rewrite for academic register. Speech is less dense than writing, so tighten sentences that read as spoken before your supervisor sees them.
- Check the confidentiality rules. Find out where your tool sends audio, and whether your ethics approval or data management plan allows that.
It depends on the chapter, the tool and your accommodation
A literature review or discussion chapter suits dictation well. A chapter full of equations, tables or code is a poor fit, and you should draft those sections by keyboard or in an editor built for them. If you use Word, check your subscription before you plan around it. If you use Windows voice typing or a university licence, check the connection and the eligibility rules first. If dictation is part of an accommodation, your disability office's answer decides the question, whatever this page says.
